Key Responsibilities
- Own end-to-end logistics for 10-12 conferences and trade shows annually, including vetting and securing sponsorships, registering and prepping staff, ordering booth properties/swag/print, and managing show services like electrical and material handling.
- Identify and secure quality venues for client reservations and executive dinners designed to drive brand visibility and lead generation.
- Organize offsites for a team of approximately 20 people requiring transportation, catering and restaurant reservations, swag, and activities once or twice a year.
- Identify, vet, and manage relationships with event partners, swag providers, printers, transportation companies, and caterers to deliver on event needs.
- Provide comprehensive and accurate budget reporting to department heads.
- Leverage AI tools and agents to create event-related content like email copy and improve operational efficiency.
Required Qualifications
- Experienced events professional: Possess 5+ years of experience in third-party event operations and logistics, with personal management of 10 and 20 booth footprints at major tier-1 industry expos, tech conferences, and enterprise trade shows.
- Demonstrates a strong understanding of event logistics, including vendor relations and convention center operations.
- Proactive & adept communicator: Communicate clearly and proactively with leadership, department heads, design teams, and vendors to ensure projects remain on track.
- Capable of navigating conversations with a wide range of individuals, from service providers to senior executives.
- Strong contract review and negotiation skills are essential.
- Skilled project manager with an eye for detail: Ability to drive projects independently in a remote environment and manage multiple event deliverables across internal and external stakeholders.
- Capable of anticipating potential issues and articulating alternative solutions with their trade-offs.
- Thrives on managing intricate details and is a proactive problem solver.
- Adaptable & reliable: Comfortable with a flexible workload that varies with the event calendar (approximately 40–50 hours per month during busy periods, 10-20 hours per month during slower periods).
