About the role

This position is responsible for the management and use of the department’s Purchasing Card (PCard). The role involves scheduling assigned events, managing event contracts, arranging room reservations, and coordinating event space set-up. As the primary contact for customers, you will assist with planning, reservations, and logistics while maintaining accurate and up-to-date event policies and procedures.

Responsibilities

  • Provides professional client services in the planning, organizing, and managing of internal and external events, including logistics, registration, attendee tracking, presentation materials, and pre- and post-event evaluations.
  • Coordinates necessary arrangements with campus support groups for events (Catering, Building Services, Public Safety, UITS, Residence Life, Parking, etc.).
  • Troubleshoots EMS challenges for clients via phone, email, or in-person.
  • Coordinates staffing for appropriate event coverage, from set-up to breakdown.
  • Produces contracts and invoices for events, monitors fee collection, and provides payment information to appropriate personnel.
  • Creates diagrams and floor plans with setup requirements.
  • Maintains and executes event timelines.
  • Checks set-up for scheduled events (with oversight) in larger event venues.
  • Provides on-site event support, including after-hours and weekend events on both campuses and/or other venues as assigned.
  • Periodically oversees and assists with set-ups, including moving tables, chairs, podiums, stanchions, and floor carpet installation/tear-down.

Requirements

  • High school diploma or equivalent.
  • Current, valid, and unrestricted driver’s license.
  • One (1) year of related work experience or at least two (2) years of student employment experience with a concentration in event coordination or facility management or successful completion of the KSU Night Owl program competencies as documented by the manager.

Preferred Qualifications

  • Proficient in MS Office (MS Excel, in particular).
  • Proficient in CAD software.
  • Undergraduate or advanced degree from an accredited institution of higher education in a related field.
  • Experience with Event Management System or similar event software.

Skills

  • Creative, with the ability to suggest and implement improvements.
  • Able to handle multiple tasks or projects simultaneously while meeting deadlines.
  • Able to apply technology and innovation to improve efficiency and solve problems.
  • Experience creating and updating Excel spreadsheets.
  • Excellent interpersonal, initiative, teamwork, problem-solving, independent judgment, organization, communication (verbal and written), time management, project management, and presentation skills.
  • Proficient with computer applications and programs associated with the position (e.g., Microsoft Office suite, Event Management System or similar event software).
  • Strong attention to detail.
  • Strong customer service skills, including phone and email etiquette.

Pay

The budgeted salary range is $42,840 - $57,100 per year. Offers are based on relevant experience.

Location

Primary work locations include:

  • Kennesaw campus: 1000 Chastain Road NW, Kennesaw, GA 30144.
  • Marietta campus: 1100 South Marietta Parkway, Marietta, GA 30060.

This position may require occasional travel (1% - 24% of the time) and after-hours/weekend event support. A Purchasing Card (P-Card) will be required for this role.
