Responsibilities

  • Cook up logistics for workshops, classes, speakers, concerts, and special events
  • Communicate with presenters, facilitators, and guest speakers
  • Manage event registration and attendee communications
  • Aid with event setup and onsite operations
  • Help ensure a positive experience for presenters and participants
  • Cook up event details and communications with partner organizations, including Hale Akua Garden Farm and related Maui programs when applicable

Community & Administrative Support

  • Respond to participant inquiries by phone and email
  • Maintain registration databases and participant records
  • Track event attendance, registrations, and payments
  • Aid with registration, payment, and reporting processes with bookkeeping and administrative support personnel
  • Aid with scheduling and calendar management
  • Prepare meeting notes and action items
  • Aid in maintaining organized digital files and systems

Marketing & Outreach Support

  • Aid with email campaigns and newsletters
  • Update website event listings
  • Aid with social media posts and event promotion
  • Aid in increasing attendance and community engagement
  • Aid in outreach to presenters, partners, and community organizations

Qualifications

  • Excellent written and verbal communication skills
  • Strong organizational and project management abilities
  • Ability to manage multiple projects and deadlines
  • Strong attention to detail
  • Ability to work independently and as part of a team
  • Comfortable learning new software and systems

Position Details

  • Part-time (20–25 hours per week)
  • Some evening and weekend event support required
  • Opportunity for growth and increased responsibility
  • Ability to support programs in Marin and coordinate with events and partners in Maui when needed
  • Marin County preferred
