About the Opportunity The organization is seeking an Event and Admin Coordinator - fully remote! to oversee event operations and provide executive administrative support. Reporting collaboratively alongside the Executive Assistant to the CEO, this role serves as the central operational coordinator for the organization's event presence while executing tactical administrative priorities for leadership. This position oversees the planning and execution of more than 15 internal and external events annually across the globe. Outside of peak event periods, the role provides direct administrative support to leadership, ensuring operational continuity and alignment across key company initiatives. This is a full-time, remote position based in the United States. Key Responsibilities Project manage and execute logistics for 15 or more domestic and international events annually from initial planning through completion.Develop and maintain comprehensive conference playbooks, including schedules, meeting overviews, venue maps, and logistical details.Proactively research, evaluate, and recommend event opportunities based on business value, audience, cost, speaking opportunities, sponsorship tiers, and strategic fit.Participate in contract negotiations for all event-related requirements and vendors.Own event timelines, deliverables, and budgets, identifying risks and resolving operational blockers proactively.Coordinate brand presence logistics, including shipping event materials, signage, and tools to domestic and international locations.Coordinate attendee registration, badging, lodging, meeting spaces, ground transportation, dining reservations, and related requirements.Serve as the primary operational point of contact for external partners, including event organizers, venues, hotels, and vendors.Manage post-event processes, including logging leads, contacts, and outcomes in Salesforce, conducting post-event reviews, and tracking open follow-up items.Assist the Executive Assistant to the CEO with administrative tasks, including expense tracking, expense report submissions, calendar coordination, and travel logistics.Support the preparation of briefing documents and meeting materials for executive leadership.Anticipate administrative needs, identify workflow gaps, and independently drive initiatives to completion. Qualifications Demonstrated operational and project management capabilities managing multi-faceted event logistics and executive-level administrative tasks.Experience with Salesforce for logging event outcomes, leads, and contact data.Experience coordinating vendor relationships, logistical arrangements, and contract negotiations.Strong organizational and time-management skills with the ability to manage competing priorities in an ambiguous, fast-moving environment.Sharp judgment with the ability to solve problems independently, anticipate organizational needs, and know when to escalate issues.Strong cross-functional communication skills, with the ability to align stakeholders at all levels, surface risks early, and maintain momentum across projects.
