About the role
The Event Operations Specialist will be the operational backbone behind Alma’s growing events engine, ensuring every in-person dinner, party, and workshop we run for founders and HR / People teams comes together seamlessly, on time, and at a premium standard.
Responsibilities
- Own Event Logistics & On-Site Execution
- Manage the full operational lifecycle of events: venue sourcing, catering, vendors, AV, run-of-show, merch, and day-of readiness
- Act as the point person on-site, resolving issues quickly and keeping everything running smoothly
- Ensure every event feels premium, thoughtful, and true to Alma's brand
- Create and refine repeatable operational playbooks, checklists, and timelines for different event formats
- Standardize workflows and documentation so events run consistently, whether it's a 20-person dinner or a 200-person conference
- Track budgets, staffing needs, and vendor relationships tied to our events calendar
- Support Planning & Cross-Functional Coordination
- Partner with the Events & Partnerships Lead to translate strategy into an operational plan
- Review event requests and stakeholder needs to make sure logistics match the intended experience
- Keep timelines, action items, and follow-ups visible and on track across multiple events running in parallel
- Deliver clear, regular updates on event readiness, risks, and support needed
- Track Performances & Iterate
- Monitor what worked operationally at each event — what caused friction, what saved time — and feed it back into future planning
- Track expenses against budget for each event, flag overages early, and propose budgets for upcoming events based on past spend and scope
- Continuously improve processes as Alma's event cadence grows
Requirements
- Run the operational side of high-quality events - whether professionally or as a student- and know what it takes to make one go off without a hitch
- Highly organized and can manage multiple events and vendors in parallel without dropping details
- Strong judgment and stay calm when something on-site doesn't go to plan
- Comfortable owning logistics end-to-end, from planning through breakdown
- Enjoy building systems and documentation, not just executing one-off events
- Communicate clearly and proactively with stakeholders across teams
