Event Marketing Specialist

Wealthbox is the #1 rated CRM software for financial advisors and the fastest-growing platform in the market. We attend 25+ industry conferences per year and host a handful of smaller regional events. This role ensures all events run smoothly: before, during, and after.

  • Own end-to-end logistics: Registrations, sponsorship deliverables, booth setup and teardown, shipping, swag, travel coordination, and on-site execution.
  • Pre-event campaigns: Targeted email outreach to registered attendees and target accounts, social promotion, and coordination with SDRs and AEs to book demos ahead of the event.
  • Post-event follow-up: Lead list processing, segmented nurture sequences, and coordinated handoffs to the sales team.
  • Internal events: Manage logistics for the annual company offsite and sales kickoff.
  • Vendor relationships: Manage vendor relationships for event services, printing, shipping, promotional items, and third-party partners.
  • Automated workflows: Build and maintain workflows for pre-show checklists, vendor communications, attendee tracking, lead capture processing, and post-event follow-up sequences.
  • Sales leadership coordination: Coordinate with sales leadership on event staffing, meeting schedules, and on-site priorities.
  • Event performance tracking: Track and report on leads generated, pipeline influenced, cost per lead, and ROI by event.
  • Budget management: Manage the events budget, track spend against plan, and flag variances early.
  • New event research: Research and evaluate new conference opportunities, gather data on audience fit, cost, and potential ROI.
  • Centralized calendar: Maintain a centralized events calendar and ensure all stakeholders have visibility into upcoming events.

Requirements: - At least 2 years of professional experience, preferably with event coordination, marketing operations, or project management. - Exceptional organizational skills. - Comfort with AI tools. - Strong written communication skills. - Willingness to travel 6-8 times per year, primarily for attending industry conferences and internal company events. - Proactive and problem-solving mindset. - Experience coordinating events or trade shows in a B2B environment. - Familiarity with automation tools like Zapier, Make, or similar platforms. - Personal initiative with AI usage. - Experience working with Salesforce and understanding campaign attribution. - Vendor relationship management and contract negotiation experience.
