About the role
Reporting to the Director of Marketing, the Event Marketing Specialist manages the development, promotion, and coordination of all event marketing initiatives for Viking Group and related companies. This role owns the planning, coordination, and execution of marketing events, turning trade shows, industry meetings, internal trainings, customer visits, and branded experiences into well-run, on-brand opportunities to support business development, customer engagement, and market visibility.
The ideal candidate is a proactive, detail-driven marketing professional who can manage competing priorities, anticipate needs, and keep cross-functional event work moving with limited day-to-day direction.
Responsibilities
- Lead planning and execution for assigned corporate events, including trade shows, customer visits, trainings, industry meetings, and internal events.
- Own event logistics from planning through closeout, including registration, shipping, show services, booth assets, deadlines, staffing details, and vendor coordination.
- Serve as a primary point of coordination for internal stakeholders, ensuring event schedules, travel details, agendas, materials, and expectations are clearly communicated.
- Partner with vendors, sales teams, product stakeholders, and marketing colleagues to deliver consistent branding, signage, promotional materials, booth experiences, and customer-facing event support.
- Manage event inventory, promotional items, and branded materials, including storage, tracking, restocking, quality checks, and readiness for upcoming events.
- Maintain and improve the master event calendar, helping the marketing team plan capacity, deadlines, travel needs, and overlapping event demands.
- Coordinate the promotional merchandise process, including sourcing, ordering, proofing, budget awareness, delivery timing, and usage tracking.
- Collaborate with the marketing team on event-related communications, campaigns, collateral, digital promotion, and follow-up materials that support event objectives.
- Lead post-event wrap-ups for assigned events, including feedback collection, vendor follow-up, lead or attendee coordination, lessons learned, and recommendations for future improvements.
