About the role
We are looking for an experienced, multi-talented Marketing and Events Specialist to support a hybrid role focused on keeping our busy event calendar running smoothly and ensuring marketing projects are structured and on schedule.
Responsibilities
- Support and assist with the conference calendar of 40+ trade shows per year, ensuring our staff is registered, has the information they need, and knows exactly what to do.
- Cook up the production of booth displays, sponsorships, promotional materials, presentations, onsite events, and other details necessary to produce a successful event.
- Handle packing and shipping booth materials to ensure everything arrives on time.
- Track invoices, expenses, and purchase orders for every event to ensure we are meeting our goals.
- Maintain an inventory of all physical event assets, including banners, promotional swag, tech equipment, and marketing collateral.
- Act as a point of contact for event organizers and keep our internal team updated with detailed event briefs.
- Travel to events as team support for impactful presence and creating new relationships.
- Act as the central project manager for Marketing Team initiatives, ensuring all team members are aligned on their responsibilities and milestones are met on time.
- Monitor ongoing marketing campaigns and flag any potential project delays before they become critical issues. Support the team with creative problem-solving when delays or "traffic jams" happen.
- Help route incoming requests from other departments into the marketing team's queue, ensuring all necessary details are captured.
- Work closely with team leads on creating deadlines and mitigating expectations with other departments.
- Provide light copywriting support when needed, such as writing event-related communications, drip campaigns, web copy, social media promotions, and basic newsletter blurbs.
- Review marketing assets for quality, brand, and technical accuracy before release.
- Aid in manual data cleanups and organizing digital asset folders in Google Drive.
Requirements
- Educational Background: You hold a 4-year college degree or have equivalent experience in events, marketing, communications, or a related field.
- Proven Experience: You have 3-5 years of professional experience in event planning. Additional experience in copywriting, content marketing, or communications is a plus.
- Travel: Ability to travel up to 10% of the time to attend industry tradeshows and company events; requires flexibility to occasionally work evenings or weekends depending on event schedules.
- Exceptional Organization: You are a skilled project manager who can handle multiple deadlines and keep the logistics for multiple events and team projects on track.
- Strong Collaborator: You enjoy working across different teams – from Operations to Sales – to ensure our marketing goals, content, and event plans are aligned.
- Results-Oriented: You use marketing insights to understand what interests our audience and look for ways to make our next events even more successful.
- Comfortable with Marketing Tools: You are comfortable using platforms like Google Suite, HubSpot, Zoom, and project management tools (like Monday.com) to manage projects and keep the team on track.
