About the role

The Event Manager is responsible for planning, coordinating, and executing high-quality events that deliver exceptional experiences for Trust In Food partners and stakeholders. This role ensures events are delivered on time, within budget, and aligned with program objectives while maintaining a strong customer-focused approach.

Responsibilities

  • Lead the logistics planning, coordination, and execution of Trust In Food events, including workshops, field days, conferences, webinars, advisory meetings, and partner engagement programs.
  • Develop and manage timelines and project trackers to ensure successful execution from concept through post-event evaluation.
  • Cook up internal teams and external vendors, including venues, catering, audiovisual, transportation, signage, and other event services to deliver high-quality experiences.
  • Manage event budgets by tracking expenses, negotiating vendor agreements, processing invoices, and ensuring events are delivered within approved budgets.
  • Oversee rooming lists, travel logistics, and on-site event operations to provide an exceptional participant experience.
  • Partner with internal stakeholders and across COE's, to align logistics with other parts of the TIF events program, such as content, media, registration.
  • Interact with farmers and ranchers and ensure their voice is heard throughout the planning process.
  • Oversee logistical contingency plans, proactively identify risks, and resolve logistical issues before and during events to ensure seamless execution.
  • Maintain event planning documentation, templates, and standard operating procedures to improve efficiency and consistency across Trust In Food programs.
  • Travel approximately 10–20% to industry events, partner meetings, and farm locations to oversee on-site event logistics and execution.

Requirements

  • Minimum of 6 years of experience in event management, meeting planning, conference management, hospitality, or a related field.
  • Demonstrated success planning and executing complex events, including managing logistics, budgets, timelines, vendors, and cross-functional teams.
  • Strong project management and organizational skills with the ability to manage multiple events and competing priorities simultaneously.
  • Unparalleled client-facing and internal communication skills.
  • Excellent written and verbal communication skills.
  • Able to manage competing priorities with high attention to detail.
  • Able to manage multiple projects and tasks on a regular basis.
  • Experience managing event budgets, negotiating vendor contracts, and tracking expenses.
  • Innovative and proactive, with a continuous improvement mindset for enhancing event processes and operational efficiencies.
  • Collaborative team player who values communication, accountability, and partnership across departments.
  • Experience in agriculture, food and sustainability is preferred.

Skills/Professional Experience
