Responsibilities
- Manage Event Coordinators within the Community Services Department through coaching and mentoring.
- Ensure Event Coordinators develop and coordinate all aspects of the event planning process (research, design, planning, coordination, evaluation) executed with quality and detail based on department expectations.
- Support Event Coordinators to ensure they are prepared for meetings with the Community Services Director.
- Develop timelines, production schedules, and time-blocking processes to meet expectations, deadlines, and support effective communication.
- Coach and train Event Coordinators on creating event experiences tailored to attendee demographics, needs assessments, and trends associated with the military, local community, and relevant social groups.
- Ensure agendas and minutes are completed, tasks are assigned and followed through, and planning stays on target per department expectations.
- Support the Community Services Director in coaching and mentoring Event Coordinators to meet monthly goals.
- Assist with performance coaching and the annual review process.
- Support recruiting efforts by reviewing resumes, conducting phone interviews, and setting up future interviews.
- Assist with onboarding new team members to ensure training is on target for the first 3 and 6 months.
- Attend events with new Event Coordinators to provide onsite support and training.
- Oversee events during position gaps to keep them on target.
- Manage Event Coordinators’ monthly schedules and ensure Day of Coordinator Schedules are filled out correctly.
- Perform administrative and computer tasks, including email communications and data input into software systems (e.g., Payscan, Yardi, Word, Excel, Publisher, InDesign, Streampoint Registration Website, social media sites).
Requirements
- Minimum of 5 years of experience in the event industry, specifically with planning and coordinating events.
- Degree in event planning, recreation, hospitality, marketing, communication, or a related field.
- Certificate in event planning is preferred (currently working on or complete).
- Experience managing team members/direct reports.
- Working knowledge or experience with the military community is preferred.
- Working knowledge or experience with children and children’s programs is required.
- Leadership skills and professional judgment in handling difficult situations.
- Ability to lead by example and model professional behavior.
- Experience with budgets, proposals, contracts, and negotiation skills.
- Effective communication with military partners, vendors, residents, event attendees, and management.
- Proficiency in personal computers, including keyboard, internet search, email, math, Microsoft Office (Word and Excel), Publisher, InDesign, Photoshop, social media sites, and other software applications (e.g., Yardi, Payscan, Streampoint).
- Technology-savvy and a quick learner.
- Familiarity with digital cameras is preferred.
- Ability to operate a motor vehicle (valid license and insurance required).
- Use of personal and company vehicles.
- Quality writing and public speaking skills.
- Effective time and task management skills.
- Flexible schedule, including nights, weekends, and some holidays.
- Ability to travel to other regional locations for work, training, meetings, and overnight events.
- Ability to lift up to 50 lbs., use step stools, move boxes and event materials, and load/unload vehicles for events.
- Ability to walk and stand for long periods during events.
Pay
$70,304 - $73,000 (annual)
