Event Coordinator - Fluno Center
Join the UW Conferences & Events team at the Fluno Center, a full-service event destination and conference center located on the University of Wisconsin Campus in downtown Madison.
About the role
In this role you will consult with customers to determine their event details including food menus, audio visual services, room layouts and set up. You'll work with department heads to fulfill event requirements and ensure execution. The successful candidate has the desire to become an expert user of complex event software, is a good listener, detail oriented, and is willing to be proactive. Our event team is committed to providing a first-class experience for our customers and guests with every experience, every detail, and every day.
Schedule
Monday through Friday 8:00 am to 4:00 pm, with the occasional night or weekend to support an event. 100% on-site.
Responsibilities
- Schedules logistics and secures resources for all aspects of events including space, vendors, and staff; and coordinates details and resolves operational issues
- Communicates with customers to determine event details and requirements, evaluates requests, recommends service plans and pricing, and provides status updates
- Assists with planning and the creation of promotional materials and resources for events
- Greets customers/guests, assists with registration, answers questions, and refers complex issues to appropriate entities
- Monitors and processes event related transactions and event data and records
Requirements
- A minimum of one year of professional experience in event coordination and/or event planning. Please describe the average number and size of events.
- Experience with hybrid or virtual meeting planning.
Preferred Qualifications
- Familiarity with event management software platforms (e.g. EMS, Mazevo, 25Live).
- Strong organizational skills and ability to manage multiple events and priorities simultaneously.
- Excellent interpersonal communication skills, with a customer service mindset.
- Demonstrated ability to work collaboratively with a wide array of customers and stakeholders.
Education
No degree required but a 2-year degree or associate degree in event planning is preferred.
Pay
The expected starting salary is $23.50/hour.
