Event Coordinator

Our team supports events ranging from auto shows to national political party conventions to world economic summits. About the role
The Event Coordinator contributes to the overall success of the organization by working closely with show management, site management, and major customers to respond to client needs and resolve customer sales and service issues through onsite presence at assigned shows.
Responsibilities
- Supports and coordinates customer sales and service activities with show management, site management, and major customers to respond to client needs and resolve issues during pre-show and onsite at assigned shows.
- Collects payment prior to show for all scheduled show management services.
- Fully utilizes and understands all aspects of the company’s proprietary software system.
- Assists and answers customer sales and service staff inquiries on input and system issues.
- Resolves customer billing errors and interfaces with customers to solve issues and suggest additional services, if needed.
- Initiates credit card searches and resolves billing/payment issues with clients.
- Understands and clearly explains all aspects of company products to customers.
- Ensures compliance with company policy regarding customer credit card and prepayment requirements.
- Interacts with customers and show managers on a regular basis.
- Responds to complex questions regarding accounting, billing, networking, collections, and other areas.
- Provides guidance and training to lower-level CSSRs; functions as a lead, regional specialist, or assistant to manager as needed.
- Provides proactive support and coordination for pre-show and on-site collection efforts.
- Obtains customer approval and signature on all requested services.
- Prepares all show site reports.
- Communicates with other department team members on customer sales and service issues.
- Attends pre-conference meetings.
- Distributes and collects show manager equipment rentals.
- Reviews billing with show management.
- Collects show management surveys.
- Performs other duties as assigned.
Requirements
- Strong knowledge of Microsoft Office suite required, particularly Outlook, Word, and Excel.
- Ability to multi-task and respond to multiple interruptions in a professional manner.

- Strong attention to detail is essential.
Qualifications
- High school graduate or equivalent; Bachelor’s degree preferred.
- On-site only, non-remote, non-hybrid position.
