Responsibilities

  • Greet customers in a friendly and professional manner.
  • Answer phone calls and respond to emails promptly and courteously.
  • Aid customers with scheduling appointments for estimates, repairs, and other services.
  • Collect and record customer information accurately in the system.
  • Create detailed estimates for vehicle repairs using CCC Estimating software, including parts, labor, and other necessary services.
  • Perform parts mirror matching to ensure accurate pricing and availability of replacement parts.
  • Prepare supplements to be submitted to insurance companies for additional repair work or unexpected costs.
  • Communicate effectively with technicians and other staff to coordinate repairs and service timelines.
  • Provide accurate explanations of repair processes, estimates, and parts matching to customers.
  • Keep customers informed about the status of their vehicles and any delays or changes in the repair timeline.
  • Handle customer complaints and concerns with empathy and professionalism, working to resolve issues promptly.
  • Process payments and invoices accurately.
  • Maintain a clean and organized work environment.

Qualifications

  • A high school diploma or equivalent; additional education or training in customer service is a plus.
  • Proven experience in customer service roles, preferably in an automotive or body shop environment.
  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills and the ability to build rapport with customers.
  • Proficient computer skills, including experience with CCC Estimating software, customer management systems, and Microsoft Office Suite.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Attention to detail and accuracy in data entry, record-keeping, and parts matching.
  • Knowledge of automotive terminology and repair processes is desirable but not required.
  • Experience creating estimates and supplements for insurance companies is a plus.
  • Willingness to learn and adapt to new technologies and procedures.
  • Ability to work independently as well as part of a team.
