About the role
Provide administrative and coordination support to the Estimating Department throughout the bidding process.
Responsibilities
- Coordinate bid schedules, proposal due dates, and estimating activities.
- Maintain bid logs, estimating calendars, and opportunity tracking reports.
- Distribute invitations to bid (ITBs) to subcontractors and suppliers.
- Track subcontractor and vendor quotations and follow up to ensure timely responses.
- Notify Subcontractors and vendors of final Bid/Quote disposition as necessary.
- Organize and maintain drawings, specifications, addenda, and contract documents.
- Prepare bid forms, proposal packages, qualifications, and submission documents.
- Coordinate pre-bid meetings, site visits, and internal bid review meetings.
- Assist estimators, document management, and historical cost information.
- Maintain subcontractor, supplier, and equipment rental databases.
- Compile bid tabulations and assist with vendor and subcontractor comparisons.
- Support project turnover from estimating to project management.
- Maintain confidentiality of all estimates, pricing, and bid strategies.
- Maintain quality service by following organization standards.
- Contribute to team effort by accomplishing related results and assisting estimators as needed.
- Other Duties as required.
Education And/or Work Experience Requirement
- Associate degree in Business, Construction Management, Engineering Technology, or related field preferred.
- 2–5 years of construction administrative, estimating, project controls, or procurement experience preferred.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and Adobe Acrobat.
- Proficiency with Procore preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality.
- Attention to detail and accuracy.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Knowledge of construction drawings, specifications, and bid processes preferred.
Physical Requirements
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards.
- Ability to maintain regular, punctual attendance.
- Must be able to lift and carry up to 25 lbs.
- Must be able to talk, listen, and speak clearly.
- Requires sedentary work that involves walking or standing some of the time, and performing routine keyboard operations.
- Requires occasional jobsite visits that may involve walking over uneven surfaces, crouching, or climbing ladders or stairs.
- May involve exposure to cold, heat, rain, or snow.
