Estates Specialist FCC (Secondment)
This is a Fixed-Term Contract / Secondment Opportunity, ending September 1st, 2027. The role follows Fidelity’s hybrid office schedule. Current work authorization is required. The work location is 483 Bay Street, Toronto until late 2026, then relocating to 3 Robert Speck Parkway, Mississauga.

About the role
The Estates team manages all aspects of Fidelity Clearing Canada’s responsibilities relevant to estate management. The team focuses on building a culture that marries compliance, best practices, and risk mitigation with meeting client needs timely and accurately, providing alternatives where applicable. Responsibilities
- Administration of estate cases, including managing the initial notification of death, partial/total estate disbursements, and estate residuals.
- Request and review appropriate documents for completeness; follow up on incomplete documentation and suggest alternatives if required documentation is unavailable.
- Consistently follow the estates matrix, policy/procedures, and best practices.
- Deliver excellent quality customer service to internal and external customers, exceeding expectations and creating positive experiences.
- Take ownership of estate cases and collaborate with other departments as needed.
- Handle timely escalations and support estates-related initiatives.
- Assist with the creation and delivery of estate tax slips.
- Provide backup for estate areas as needed, including documentation review/update, projects, and other assigned tasks.
- Identify opportunities for process and system enhancements and work with the team and leaders to implement them.
- Research and investigate inquiries and issues outside of the norm, bringing potential solutions to the table.
Requirements
- 2–3 years of experience in operations or customer service processing, ideally in an estates group.
- Experience within the financial industry (an asset).
- Post-secondary education or equivalent experience.
- Estate & Trust Administration course (an asset).
- Bilingualism (an asset).
Skills
- Accurate and detail-oriented.
- Excellent interpersonal and communication skills (verbal and written).
- Strong problem-solving abilities.
- Analytical, organizational, and time management skills.
- Ability to multi-task, work well under pressure, and meet deadlines.
- Proficiency in MS Office (Word, Excel, etc.).
- In-depth knowledge of estates and related legislation (an asset).
- Knowledge of Broadridge's Dataphile platform (an asset).
Pay
This contract role offers a flexible, hourly compensation model ranging from $28.00 to $40.00, based on experience and qualifications.
