About the role

The ER Registrar manages patient intake and registration processes in the Emergency Department, ensuring accuracy and confidentiality of patient records while delivering high-quality customer service to patients and their families. This role supports efficient department operations through accurate documentation, insurance verification, and communication across clinical and administrative teams.

Responsibilities

  • Greets patients and families in a professional and compassionate manner, ensuring a positive first impression.
  • Registers patients for emergency services, obtaining all required personal, insurance, and medical information.
  • Verifies patient identification and insurance details, making necessary updates to patient records as needed.
  • Obtains patient's or appropriate family members' signature on all necessary consent authorization forms, explaining each consent prior to it being signed.
  • Verifies insurance coverage and eligibility, ensuring all necessary information is captured for billing purposes.
  • Collects patient co-pays or deductibles when applicable and informs patients of financial obligations.
  • Assists patients with understanding insurance requirements and resolves insurance-related questions.
  • Documents reasons if a patient or family member signs consent forms on the patient's behalf and ensures nursing sign-off when the patient cannot sign.
  • Verifies insurance and identifies proper insurance plan codes to ensure accurate and prompt payment.
  • Compiles necessary paperwork to ensure quick retrieval and processing of the patient's visit.
  • Places an armband on each patient before they leave the department to ensure proper identification throughout their stay.
  • Notifies department or physicians of the patient's arrival and follows up if the patient is left waiting for an extended period.
  • Maintains communication with key personnel during emergency codes and alerts the facility when emergency plans are in place.
  • Performs other duties as assigned.
  • Maintains regular and reliable attendance.
  • Complies with all policies and standards.

Requirements

  • Post-secondary education or training in medical office administration or healthcare administration preferred.
  • 0-2 years of experience in a healthcare setting, including patient registration, medical office scheduling, or front desk/admissions required.
  • 0-2 years of experience in customer service preferred.

Skills

  • Strong communication and customer service skills.
  • Knowledge of insurance verification and basic medical terminology.
  • Ability to maintain accuracy and attention to detail in a fast-paced environment.
  • Familiarity with electronic health record (EHR) systems and registration software.
  • Ability to manage sensitive and confidential information appropriately.
  • Effective interpersonal skills to work with patients, families, and healthcare teams.
  • Ability to remain calm and professional in high-stress or emergency situations.
