About the role
We are looking for an Office Services Associate to support daily administrative and document service operations for a client site. This long-term contract opportunity is ideal for someone with prior office support experience who enjoys delivering dependable service in a fast-paced, detail-oriented environment. The role contributes to copy, mail, scanning, hospitality, reception, and related back-office functions while maintaining accuracy, confidentiality, and strong client service standards.
Responsibilities
- Manage incoming office service requests by reviewing job details, confirming instructions, and maintaining accurate service records.
- Complete copying, scanning, mail handling, and document intake tasks in line with site procedures and expected turnaround times.
- Organize work by urgency and delivery commitments to ensure assignments are processed efficiently and on schedule.
- Communicate proactively with clients and leadership regarding request status, deadlines, or issues that may affect completion.
- Resolve routine equipment and production problems and escalate more complex concerns when additional support is needed.
- Perform quality checks on completed work to confirm accuracy, presentation, and adherence to client expectations.
- Replenish paper, toner, and other operational supplies to keep equipment ready for continuous use.
- Handle confidential materials with discretion and follow company and client policies across all assigned services.
- Assist with additional front-of-house or workplace support needs, including reception, hospitality, or audio/visual coordination, as required.
Qualifications
- Active California Bar license in good standing
- 1–3 years of Labor & Employment and/or civil litigation experience
- Excellent legal writing, research, and analytical abilities
- Strong organizational skills with the ability to manage multiple priorities
- A desire to learn, grow, and contribute to a collaborative team environment

Responsibilities:
- Will support 2 associates and 1 partner, all busy. They care about proactive communication and super organizational skills.
- eFiling –Filing & serving documents is the most important part of the job! Firm uses OneLegal and FirstLegal for state, and PACER for federal.
- Formatting – they have a word processing dept. in PHX, but this LAA will have to format occasionally as well, so this skillset is important (knowing which font, the precise spacing, local judges’ rules, etc.).
- Calendaring – for 3 attorneys. They have a docketing dept. Dates comes through the docketing department, but the attorneys then want their Outlook calendars updated. Docketing supports with any deadline-related questions.
- Billing – send out cover letters with each bill to client.
- Trial preparation: jury instructions, scheduling depos, reaching out to witnesses, binders
