About the Role
This is a temporary, full-time position under general supervision to serve as secretary to the Principal of an elementary school. The role involves relieving the Principal of clerical and routine administrative support work, performing a wide variety of responsible clerical and secretarial duties, and related tasks as required.
Responsibilities
- Coordinate the work of office clerks, instructional assistants, students, and volunteer workers.
- Perform difficult clerical, computer, and secretarial work with independence and initiative, including SIS input and reporting.
- Make minor decisions in the absence of the Principal.
- Act as receptionist in the school office and resource person for clerical and secretarial functions.
- Operate an intercom and handle messaging for school staff and students.
- Schedule appointments for the Principal and staff.
- Provide information on bus schedules, school policies, procedures, and activities to teachers, students, parents, and the public.
- Provide clerical assistance to volunteers, special teachers, consultants, and other personnel.
- Assign and coordinate work of clerical assistants, student helpers, and volunteer workers.
- Receive and receipt money for student fees and purchases; administer first aid as needed.
- Notify parents and obtain assistance for sick and injured students; gather and update student health information.
- Issue student tardy slips and check attendance registers monthly; prepare periodic attendance reports.
- Type and word process documents such as rosters, lists, bulletins, letters, evaluations, and various forms.
- Proofread material for accuracy; compose routine correspondence.
- Receive, open, and route mail; distribute flyers, audiovisual equipment, films, and other materials.
- Enroll new students by verifying residence, birth certificates, immunization, and health records; prepare student withdrawal and transfer records.
- Set up and maintain comprehensive files, including confidential or privileged material such as cumulative records and health information.
- Schedule room usage; orient new substitute teachers to the school.
- Verify billings; requisition and distribute office and instructional supplies.
- Operate duplicating machines; collate and bind duplicated material.
- Supervise students for detention purposes; arrange for maintenance and repair of office machines.
- Issue and maintain control records of school keys; attend periodic staff meetings.
Qualifications
Knowledge of:
- Advanced office methods and practices, filing systems, receptionist and telephone techniques.
- Business forms, letter and report writing, proofreading, and office equipment.
- Sound record-keeping procedures and word processing techniques.
- English usage, spelling, grammar, and punctuation.
- Basic public relations techniques and mathematics.
- Basic principles of supervision, training, and first aid.
Ability to:
- Plan, schedule, and organize work; read and interpret rules, regulations, laws, and policies.
- Meet the public tactfully and courteously; understand the needs of children.
- Assume responsibility and use good judgment in recognizing the scope of delegated authority.
- Maintain confidentiality of privileged or sensitive information.
- Perform clerical work of above-average difficulty and make arithmetical calculations.
- Compile and maintain accurate and complete records and reports; maintain financial records.
- Keyboard at a net corrected speed of 45 words per minute; proofread for accuracy.
- Direct the work of others; work under pressure with frequent interruptions.
- Understand and carry out oral and written instructions.
- Establish and maintain effective working relationships with those contacted in the course of work.
Training and Experience:
Any combination of training, education, and experience demonstrating the knowledge and abilities stated above. A typical qualifying background includes journey-level experience performing advanced clerical duties involving contact with elementary school students. A high school diploma is required.
Physical Requirements
- Mobility of arms to reach and dexterity of hands to grasp and manipulate small objects.
- Vision (which may be corrected) to read small print.
