About the role
Aspire Living & Learning is seeking an Electronic Health Records Specialist to support, maintain, and optimize the organization’s Electronic Health Record (EHR) system across a multi-state environment. This role serves as a key resource for ensuring the EHR system supports high-quality service delivery, regulatory compliance, documentation accuracy, and operational efficiency.
Key Responsibilities
- Serve as a primary support resource for the organization’s EHR platform (Therap), including troubleshooting user issues, answering questions, and escalating technical concerns as needed.
- Support day-to-day administration and maintenance of the EHR system, including user setup, role and security access, configuration support, and monitoring overall system functionality.
- Partner with program, clinical, nursing, compliance, quality assurance, and operational leaders to understand workflow needs and identify opportunities to improve EHR use and documentation processes.
- Aid in designing, testing, implementing, and communicating EHR enhancements, updates, forms, templates, workflows, and related system improvements.
- Help ensure documentation processes and EHR workflows align with organizational standards, payer requirements, licensing expectations, and state-specific regulations across multiple states.
- Develop and maintain user guides, training materials, tip sheets, and process documentation related to EHR workflows and best practices.
- Deliver training and ongoing support to new and existing staff on EHR functionality, documentation expectations, and workflow changes.
- Aid in testing new functionality, patches, interfaces, and releases before implementation.
- Maintain confidentiality and security of protected health information and organizational data in accordance with HIPAA and organizational policies.
- Chair the Therap Super Admin Committee.
- Perform other related duties as assigned.
Qualifications
- Bachelor’s degree in health information management, healthcare administration, information systems, human services, nursing, social work, or a related field preferred.
- High School degree required. Minimum of 2–4 years of experience working with an Electronic Health Record system required.
- Experience in healthcare, behavioral health, human services, or ID/DD services strongly preferred. Experience supporting multi-site or multi-state operations preferred. Experience with system administration, workflow design, training, or implementation support preferred.
- Strong understanding of Electronic Health Record systems, workflows, and documentation practices. Knowledge of healthcare or human services documentation requirements and the importance of data accuracy, timeliness, and compliance. Ability to translate operational, clinical, and regulatory needs into practical system workflows. Strong troubleshooting and problem-solving skills with close attention to detail. Excellent written and verbal communication skills, with the ability to explain technical information to non-technical users. Strong interpersonal skills and ability to work collaboratively across departments and levels of the organization. Ability to develop training materials and provide effective staff training and coaching. Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook. Ability to maintain discretion and handle confidential information appropriately. Commitment to supporting high-quality, person-centered services for individuals with intellectual and developmental disabilities.
Preferred Qualifications
- Experience with EHR platforms used in human services, behavioral health, or ID/DD settings.
- Experience with incident tracking, medication administration records, service documentation, health tracking, billing-related documentation, or compliance monitoring within an EHR.
- Experience working with system vendors and participating in software testing or implementation projects.
- Familiarity with HIPAA, Medicaid documentation requirements, and state-specific service documentation expectations.
- Experience creating reports, dashboards, or data validation processes related to EHR data.
