About the role

This hands-on, non-supervisory position provides logistical, planning, and administrative support for international and domestic USP Education courses. Responsibilities include intensive meeting planning, scheduling, project leadership, customer service, and course delivery logistics to advance USP’s mission of increasing global access to high-quality medicines through public standards and related programs.

Responsibilities

  • Supports the Manager, USP Education Operations with administrative and logistical details for course programs, including site, faculty, content developers, materials, purchase orders, contracts, and invoices.
  • Coordinates USP Education course development and special projects; keeps leadership apprised of progress.
  • Creates, tracks, and manages detailed project plans for multiple concurrent projects.
  • Tracks and manages instructor qualification processes.
  • Communicates project status regularly to internal customers and external vendors/consultants; proactively identifies obstacles and works to resolve them.
  • Routes materials through approvals as needed; writes purchase orders and contracts/statements of work, obtains USP signatures, and distributes fully executed copies.
  • Maintains tracker for purchase order expenses, expenses against purchase orders, LMS revenue, and course evaluation data.
  • Maintains course catalog data in coordination with ongoing content development activities.
  • Coordinates logistics for external courses: registration, transportation, reservations, vendor management, meeting space specifications, A/V and materials shipment, lab materials, food and beverage, and faculty accommodations.
  • Provides support for USP Education course registration across webinars, domestic face-to-face courses, and courses in the European region and other international regions as needed.
  • Moderates live online and classroom courses.
  • Edits recorded webinars and webcast videos for on-demand offerings.
  • Assists with production of course training materials (workbooks, flash drives/CDs, badges, sign-in sheets, certificates) and ensures high quality, consistency, and timely delivery.
  • Answers customer questions and monitors the USP Education phone/voicemail and email inbox.
  • Provides final course evaluation summary reports to instructors, content developers, SMEs, and USP Education staff; manages review of all evaluations with the team.
  • Tracks course requests for current and potential new courses and keeps the USP Education team updated.
  • Performs other duties and special projects as assigned.

Qualifications

  • Bachelor’s degree in business or related field, or equivalent combination of relevant experience and education.
  • Minimum of three years of relevant experience.

Skills and preferences

  • Knowledge of adult science-based educational programs and how health science organizations and associations develop, coordinate, and manage such programs is highly preferred.
  • Experience with Cornerstone OnDemand LMS or other LMS platforms is highly preferred.
  • Experience with Adobe Premiere Pro is highly preferred.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Experience creating Articulate RISE content is preferred.
  • Knowledge of HTML coding is preferred.
  • Fluency in Spanish and ability to review and update translations is preferred.
  • Experience with Planview is preferred.
  • Experience with software programs to manage contracts and invoices is helpful.
  • Basic knowledge of the pharmaceutical, biotechnology, or healthcare industry is preferred.
  • Excellent verbal, written, and interpersonal communication skills.
  • Exceptional organizational skills and strong attention to detail.
  • Strong time management skills and ability to think critically and problem-solve.
  • Proactive, results-oriented focus toward work and product deliverables.
  • Ability to handle multiple priorities in a fast-paced environment.

Supervisory Responsibilities

None; this is an individual contributor role.

Pay

Base Hourly Range: USD $30.88 – $40.15 per hour. Target annual bonus varies based on level of role. Individual compensation packages are based on various factors unique to each candidate’s skill set, experience, qualifications, equity, and other job-related reasons.
