About the role
We are seeking a detail-oriented Document Specialist I to join our team in Minnetonka, MN. This entry-level position reports directly to the Export/Import Customs & Trade Compliance Supervisor and is responsible for performing rigorous paper audits, editing, assembling technical documentation, and maintaining comprehensive filing systems. The ideal candidate will ensure strict adherence to federal import/export recordkeeping regulations and support daily compliance administrative functions.
Responsibilities
- Organize, update, and maintain physical and digital filing systems utilizing numerical, alphabetical, chronological, and subject-based methods.
- Maintain file systems and recordkeeping for customs trade documents covering import and export operations in full compliance with 15 CFR and 19 CFR regulations.
- Perform audits, basic edits, formatting, assembly, and filing of various reports, technical documents, records, and correspondence.
- Assist cross-functional teams with document retrieval, archiving, and audit preparation.
- Ensure all document management activities conform to standard operating procedures (SOPs) and departmental trade compliance guidelines.
Requirements
- Entry-level (0–2 years of administrative, records management, or operational experience).
- High School Diploma or GED equivalent.
- Exceptional precision in auditing paperwork, proofreading text, and maintaining organized filing structures.
- Practical knowledge of standard office software (e.g., Microsoft Office Suite, PDF editors, data entry systems).
- Clear written and verbal communication skills.
Preferred Qualifications
- Prior exposure to or interest in international trade compliance, customs documentation, or regulatory administration.
- Familiarity with basic archiving techniques and document retention policies.
