About the Role
The International Affairs department is seeking a Document Processor to prepare and disseminate documentation and materials in support of our international student population. This position supports international students from enrollment through graduation by providing services that enable academic progress. The role may include serving as a Designated School Official (DSO) to ensure compliance with DHS regulations.
Special Requirement: Must be a U.S. citizen or lawful permanent resident (Green Card holder) and meet all federal eligibility requirements to serve as a Designated School Official (DSO) under U.S. Department of Homeland Security regulations.
Responsibilities
- Present a professional, helpful atmosphere and positive attitude for International Affairs, students, staff, faculty, and visitors.
- Serve as a Designated School Official (DSO) in SEVIS to maintain student records, assist with processing documents for incoming and current F-1 international students, including:
- Issuance of initial attendance I-20s
- Registrations and updates to biographical, program, and financial information
- Processing incoming and outgoing SEVIS transfers
- Start date deferrals and program end dates
- Travel endorsement signatures and work authorizations
- Maintaining the SEVIS alert list
- Follow up on missing documents and maintain accurate contact information for all students.
- Conduct accurate data entry and document information into systems (e.g., spreadsheets, student information system, SEVIS).
- Act as a resource/liaison to internal staff and other departments regarding data, records, and status of international students.
- Extract data from learning management systems to spreadsheets and input data to provide academic information.
- Pull reports and organize them into spreadsheets; conduct calculations to confirm accuracy.
- Prepare communications such as memos, emails, reports, and other correspondence.
- Check and distribute general department emails to appropriate personnel.
- Create and maintain filing systems.
- Transcribe minutes from meetings, create presentations, and conduct research.
- Assist with screening phone calls and routing callers to the appropriate party.
- Provide ongoing administrative support, complete other projects as assigned, and assist with International Affairs initiatives and events.
- Contribute to the overall success of the department by performing all other duties as required.
Requirements
- 1-2 years of administrative experience.
- Bachelor’s Degree preferred.
- Customer service experience.
- Excellent computer skills, especially typing and data entry.
- Attention to detail.
- Previous experience in post-secondary education strongly preferred.
- Experience with software platforms for online classes (e.g., Moodle, Blackboard) preferred.
- Ability to carry/lift loads between 25-50 lbs (occasionally).
- Some travel between campuses may be required.
