Position Summary
Genesis is seeking a Document Preparation Specialist to support its in-house legal team by completing and processing templated legal documents. This is an administrative role, no legal experience, license, or degree is required.
Requirements
- Complete and populate legal document templates (letters, notices, forms, and pleadings) using account and case information provided by the legal team.
- Accurately enter and verify data from account records, intake forms, or case files into document templates and internal systems.
- Proofread completed documents for accuracy, formatting, and completeness before routing for attorney or paralegal review.
- Track document status and queues; flag missing or inconsistent information and follow up with legal or collections staff to obtain it.
- Organize and file completed documents, both physical and electronic, according to department naming and filing conventions.
- Prepare documents for mailing, e-filing submission, or internal routing as directed by legal staff.
- Maintain and update document templates as directed; flag formatting inconsistencies or errors to the legal team.
- Maintain strict confidentiality of sensitive account, customer, and legal information.
- Support the legal team with other general administrative and clerical tasks as needed.
Qualifications
- High school diploma or equivalent.
- Exceptional attention to detail and accuracy, particularly with data entry and proofreading.
- Strong typing and computer skills; proficiency with Microsoft Word, Excel, and Outlook.
- Ability to follow detailed written instructions and templates precisely and consistently.
- Strong organizational skills and the ability to manage a high volume of documents and deadlines.
- No prior legal experience, paralegal certification, or degree required.
- Prior administrative experience a plus in a legal, financial services, or collections office environment.
- Familiarity with document management, case management, or mail-merge/forms-based software.
- Experience working with high-volume, deadline-driven document processing.
