Responsibilities
- Prepares documents such as brochures, books, periodicals, catalogs, and pamphlets for copying or photocopying.
- Cuts documents into individual standardized pages, using a paper cutter or razor knife.
- Reproduces document pages as necessary to improve clarity or adjust standardized page size according to copy machine limitations.
- Stamps standard symbols on pages or inserts instruction cards to notify Duplicating Machine Operator of special handling.
- Prepares cover sheets and document folders for material, and index cards for files, and files folder according to index code and copies priority schedule.
- Supports the task by identifying and resolving potential issues within the Document Preparation process.
- Reviews records to determine best preparation practices.
- Ensures that each box is properly labeled.
- Verifies that all boxes in multiple-box sets are present prior to processing.
- Verifies Federal Firearms License information to the appropriate batch cover sheet and internal documentation.
- Removes all non-essential material from required records.
- Ensures the removal of staples and paper clips and repairs torn pages.
- Maintains numeric file with a high degree of accuracy.
- Safeguards, organizes, and sorts all boxes of individual dealer records.
- Ensures all electronic media received in the OBRR is requested, tracked, and updated with the dealer record set during the Document Preparation process.
- Updates the Warehouse Tracking System with necessary FFL and disposition information, which may include creating box labels.
- Performs quality assurance checks of team workloads.
- Accurately documents communication details in a logical, organized manner.
- Performs record management duties as indicated in the Document Preparation procedures.
Requirements
- Ability to work with minimal supervision and follow policies and procedures.
- Experience in performing work requiring attention to detail and accuracy.
- Good sense of time management and the ability to work under time constraints.
- Willingness to work as a team player.
- Strong sense of customer service.
- Understanding of the importance of consistently delivering high-quality work.
- Computer skills, including accurate use of keyboard, familiarity with web browsers and basic Microsoft Office applications.
- Experience in identifying and submitting potential problems to appropriate levels of management.
- Ability to frequently lift up to 40 pounds.
- Performing frequent repetitive motions using fingers, hands, wrists, and arms.
Qualifications
- High school diploma or general education degree (GED).
- Ability to obtain and maintain MRPT facility credentials/authorization.
