WSP is seeking a Document Control Specialist to join our Project Controls team in the Boston office.

About the role

Support the Document Control Manager and team to maintain a document management system for contract and project documents. Help implement efficient workflow processes, monitor daily activity, and make modifications as needed. Work within the existing Electronic Document Management System (EDMS) to provide document management support to the entire project team.

Responsibilities

  • Work with the Document Control Manager and team to ensure policies and procedures are followed.
  • Retrieve, upload, and download files; manage document naming conventions, numbering, assignment, and distribution.
  • Process incoming and outgoing documentation.
  • Ensure electronic record files are maintained in good order to comply with contractual requirements.
  • Familiarity with submittal and RFI packages procedures and processes.
  • Collaborate with project department leads to ensure timely processing of documentation.

Requirements

  • Bachelor’s Degree or equivalent experience.
  • 3–5 years of project experience in Document Control or a similar role, preferably in transportation infrastructure development or the construction industry.
  • Experience with Microsoft Office.
  • Experience with SharePoint, Procore, InEight, eBuilder, Bluebeam, and Microsoft 365 is preferred.
  • Excellent organization, coordination, and prioritization skills.
  • Strong reading, comprehension, and written retention skills.
  • Good problem-solving skills and superior attention to detail.
  • Exceptional client relations and customer service skills.
  • Energetic, self-motivated, and quick to learn with a focus on continuous improvement.
  • Ability to work in a team or independently in a multi-disciplinary environment.
  • Maintain confidentiality at all times.
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety, drug/alcohol, and harassment policies.
  • Exercise responsible and ethical decision-making regarding company funds, resources, and conduct, adhering to WSP’s Code of Conduct and related policies.

Pay

Expected salary range: $108,000–$120,000 per year, based on education, experience, knowledge, skills, abilities, and internal equity.
