We are seeking a highly organized and detail-oriented Document Controls Specialist to join our team on a contract basis in Houston, TX. In this pivotal role, you will manage engineering and project documentation throughout its lifecycle, ensuring accuracy, compliance, and efficient distribution across multiple capital projects.

Your expertise will support the seamless flow of critical documents, contributing to the success of our high-profile oil and gas initiatives.

Responsibilities

  • Manage, track, and maintain engineering, construction, and project documentation using the company's document management system (DMS).
  • Process incoming and outgoing documents, including transmittals, drawings, specifications, procedures, and vendor documentation.
  • Ensure all documents adhere to company standards, naming conventions, revision controls, and retention policies.
  • Coordinate with engineering, project management, procurement, and field teams to facilitate timely reviews and approvals.
  • Maintain document registers and generate status reports for project teams.
  • Perform quality checks to verify document accuracy, completeness, and proper version control.
  • Archive project documentation upon completion in accordance with company and regulatory requirements.
  • Support audit processes by providing documentation and maintaining accurate document histories.
  • Assist in the continuous improvement of document control processes and procedures.

Requirements

  • High school diploma or GED required; Associate's or Bachelor's degree preferred.
  • Minimum of 3 years of experience in document control, preferably within the oil & gas, pipeline, EPC, or industrial construction industries.
  • Proven experience supporting engineering and capital projects.
  • Proficiency with document management platforms such as Aconex, SharePoint, Documentum, Coreworx, Bentley ALIM, Enovia 3D PLM, ProjectWise, ProArc, Autodesk, or similar EDMS solutions.
  • Strong understanding of document control principles, revision management, and records retention.
  • Advanced skills in Microsoft Office, especially Excel, Outlook, and Word.
  • Excellent organizational, communication, and time management skills.
  • Ability to handle multiple priorities effectively in a fast-paced environment.

Preferred Qualifications

  • Experience supporting midstream pipeline, terminal, compressor station, or facility projects.
  • Familiarity with engineering drawings, P&IDs, isometrics, and technical documentation.
