About the Role
WSP is seeking a Document Control Manager to join our Project Controls team in Tulsa, OK. This is a full-time onsite role.
Responsibilities
- Influence project vision and initiatives through effective document management.
- Implement document management systems for large/mega programs in design and construction.
- Set up and manage document management systems from inception through project completion and closeout.
- Monitor and manage Electronic Document Management System(s).
- Develop and administer the project “Document Management Plan.”
- Create and oversee Document Control Procedures and Training Guidelines.
- Work with SharePoint, Procore, Trimble, Aconex, ACC, Bluebeam, or equivalent software.
- Collaborate with the Project Information Management Systems Team for access, security, and troubleshooting.
- Apply knowledge of document management processes, procedures, and systems.
- Conduct recurring training on Document Management Requirements and EDMS use.
- Implement efficient workflow processes, initiate, and track document reviews.
- Retrieve, upload, and download files from EDMS; manage document naming, convention, numbering, assigning, and distribution.
- Process incoming/outgoing transmittals and documentation.
- Initiate and track reviews through Bluebeam Sessions.
- Ensure electronic record files comply with QA and contractual requirements.
- Optimize Document Control productivity, efficiency, and service quality across all departments.
- Work with project department leads to ensure timely processing of documentation and future updates.
- Produce progress reports as required.
Requirements
- Bachelor's degree or equivalent.
- Minimum 7-10 years of Document Control experience on design, construction, or similar projects, including start-up and closeout processes.
- Experience implementing document management systems and procedures for large and mega programs in construction.
- Advanced computer and word processing skills using MS Office applications, including SharePoint.
- Experience supervising and leading Document Control Team Members.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to coordinate several high-priority deadlines simultaneously.
- Maintain confidentiality at all times.
- Technical knowledge of industry documents, records, and data management systems.
- Proficiency with Microsoft Office applications (Word, PowerPoint, Excel, Visio).
