About the Role

WSP is seeking a Document Control Manager to join our Project Controls team in Tulsa, OK. This is a full-time onsite role.

Responsibilities

  • Influence project vision and initiatives through effective document management.
  • Implement document management systems for large/mega programs in design and construction.
  • Set up and manage document management systems from inception through project completion and closeout.
  • Monitor and manage Electronic Document Management System(s).
  • Develop and administer the project “Document Management Plan.”
  • Create and oversee Document Control Procedures and Training Guidelines.
  • Work with SharePoint, Procore, Trimble, Aconex, ACC, Bluebeam, or equivalent software.
  • Collaborate with the Project Information Management Systems Team for access, security, and troubleshooting.
  • Apply knowledge of document management processes, procedures, and systems.
  • Conduct recurring training on Document Management Requirements and EDMS use.
  • Implement efficient workflow processes, initiate, and track document reviews.
  • Retrieve, upload, and download files from EDMS; manage document naming, convention, numbering, assigning, and distribution.
  • Process incoming/outgoing transmittals and documentation.
  • Initiate and track reviews through Bluebeam Sessions.
  • Ensure electronic record files comply with QA and contractual requirements.
  • Optimize Document Control productivity, efficiency, and service quality across all departments.
  • Work with project department leads to ensure timely processing of documentation and future updates.
  • Produce progress reports as required.

Requirements

  • Bachelor's degree or equivalent.
  • Minimum 7-10 years of Document Control experience on design, construction, or similar projects, including start-up and closeout processes.
  • Experience implementing document management systems and procedures for large and mega programs in construction.
  • Advanced computer and word processing skills using MS Office applications, including SharePoint.
  • Experience supervising and leading Document Control Team Members.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to coordinate several high-priority deadlines simultaneously.
  • Maintain confidentiality at all times.
  • Technical knowledge of industry documents, records, and data management systems.
  • Proficiency with Microsoft Office applications (Word, PowerPoint, Excel, Visio).
