Document Controls Manager
About the Role
WSP is seeking a Document Control Manager to join our Project Controls team. This role can be based out of any Texas, Louisiana, or Arkansas WSP US location.
Responsibilities
- Influence the narrative by understanding what needs to be done to support the project vision and initiatives.
- Implement document management systems for large/mega programs in design and construction.
- Set up document management systems and manage from inception through project duration to final completion and closeout.
- Monitor and manage the Electronic Document Management System(s).
- Develop and administer the project “Document Management Plan.”
- Develop and administer Document Control Procedures and Training Guidelines.
- Work with knowledge and experience in SharePoint, Procore, Trimble, Aconex, ACC, Bluebeam software, or equivalent.
- Obtain Electronic Document Management Certifications.
- Work with Project Information Management Systems Team for access, security, and troubleshooting.
- Apply knowledge of document management processes, procedures, and systems.
- Perform recurring training on Document Management Requirements and EDMS use.
- Implement efficient workflow processes, initiate, and track document reviews.
- Retrieve files and manage document upload/download from EDMS.
- Manage Document Naming, Convention, numbering, assigning, and distribution.
- Process Incoming/Outgoing Transmittals and documentation.
- Initiate and track reviews through Bluebeam Sessions.
- Ensure electronic record files are maintained in good order to comply with QA and contractual requirements.
- Optimize Document Control productivity, efficiency, and service quality across all departments.
- Work with project department leads to ensure timely processing of documentation along with any future updates.
- Produce progress reports as required.
Requirements
- Bachelor's degree or equivalent.
- Minimum 7-10 years of Document Control experience working on design, construction, or similar projects, including start-up and closeout processes.
- Experience in implementing document management systems and procedures for large and mega programs in construction.
- Certified in e-Builder or InEight.
- Advanced computer and word processing skills using MS Office applications including SharePoint.
- Experience supervising and leading Document Control Team Members.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to coordinate several high-priority deadlines simultaneously.
- Maintain confidentiality at all times.
- Technical knowledge of industry documents, records, and data management systems.
- Demonstrated experience with typical Microsoft Office applications, such as Word, PowerPoint, Excel, and Visio.
- Exercise responsible and ethical decision-making regarding company funds, resources, and conduct, and adhere to WSP’s Code of Conduct and related policies and procedures.
