Job Summary
The Document Control Specialist II role is a position in our Document Management Group in the Research Team. The role will include multiple activities within a secure area. Document Control Specialists are required to handle documents in a timely, accurate, and efficient manner while maintaining a consistent flow from one department to the next.
Key Responsibilities
- Partner with various departments to research and locate missing titles, file batches, and fix errors when they occur, using available resources and investigative skills.
- Attention to Detail; good organizational skills; adaptability; demonstrate consistent accuracy and thoroughness; efficient and timely completion of work.
- Use company proprietary software for research and data entry.
- Retrieve perfecting documents from a secured vault repository.
- Handle documents in a timely and efficient manner while maintaining consistent flow from one department to the next.
- Ensures that the assigned work is always completed within our service level agreements.
- Follows established procedures and compliance requirements.
- Aid in all areas of the department as needed (Scanning, Verifying, Quality Control, ICM and TV).
- Analyze documents to determine the appropriate action and routing based on document type and client requirements or expectations.
- Process title documents with a high level of accuracy and quality through complex sorting, logging, identifying, matching, entering, auditing, routing, and researching as required.
- Solicit customer feedback to improve service.
- Ability to work a flexible schedule as needed, including occasional overtime.
Minimum Qualifications And Experience
- High School Diploma/GED and 1-3 years’ experience in a related field or any level degree/certification beyond a HS diploma/GED in a related discipline and up to 1 year of experience.
- Requires strong knowledge of Microsoft Word, Excel, PowerPoint.
- Excellent interpersonal and collaborative skills to work effectively with teams throughout organization.
- Ability to work in a fast-paced environment, receptive to change and able to multitask.
- Ability to learn processes and procedures quickly.
- Ability to prioritize workload and produce quality results.
Preferred Experience
- Knowledge of DMV title processing.
- Knowledge of Kofax & TMS.
- Attention to detail.
- Strong communication skills.
Compensation
The hourly rate range for this position is: $21.00 - $23.00. The final pay for this position will be determined by multiple factors including, but not limited to, location, education, experience, training and skills.
