Document Control Specialist
Overview
The Document Specialist works in support of the Project Manager and project staff to get projects into construction and to ensure an accurate and complete documentation for the entire duration of the projects.
Responsibilities
- Assist the Project Manager in maintaining project logs and records to include critical action item list, etc.
- Monitor the engineering and design efforts of the project team
- Support disciplines in resolving issues in a timely fashion that supports the project schedule
- Create and update program and project team documents and subsequent versions
- Support in tracking and verifying project and organizational deliverables
- Applies knowledge and skills toward the resolution of problems and the development of sound recommendations
- Aid in tracking and expediting of designs, materials and permits to help ensure projects get into construction on schedule
- Aid with project meetings, drafting of agendas, record meetings minutes, track action items and assist to ensure completion of tasks
- Track and coordinating document revisions and distribution
- Communicate timely and effectively with clients and stakeholders
- Focus on record coding and retention accuracy to certify proper handling of important files, documents, and forms per company policies
- Create summary and detailed project reports for management and project team members including analysis any delays
- Support project management team to maintain timely and effective change management process, procedures, and systems
- Provides support in areas of budget, cost tracking, and labor hours, tracking procurement of goods and services, validation and reconciliation of invoices and payments
- Aiding PM with daily routine tasks, developing presentations, maintaining project documentation
- Occasionally travel to the field for project throughout SoCal area
Qualifications
- Proficient in Office 365 and Document management system such as SharePoint Online
- Experience working under a direction of Document Control Lead and project/program managers, and business unit managers or their appointees
- Minimum of 0-4 years of direct or relevant experience with a related degree, or 4-6 years direct or relevant experience without a degree
- Must have good writing skills, and the ability to follow established standards
- Willing to travel to job sites around Southern California as needed
- Knowledge of SAP is desirable
- Ability to balance multiple priorities
- Bachelor’s degree in engineering is preferred
- Gas/utilities/pipeline experience preferred

Pay
The starting salary will be commensurate with skill, education, experience, and working environment. Salary range for this position is $34 - $40.
Schedule
Full-time, hybrid position. Can work from home and/or professional office environment. Occasionally travel to the field for project in SoCal areas
