The Document Control Specialist plays a key role in supporting Locke’s projects and operations by ensuring all documentation is accurate, organized, and accessible throughout each project’s lifecycle. This position is ideal for someone who is highly organized, detail-oriented, and enjoys creating structure and efficiency within a growing, fast-paced company.

Key Results

  • Ensure 100% accuracy and version control of project documentation.
  • Maintain document retrieval and turnaround times within established service level standards.
  • Achieve full compliance with internal and client document control procedures.
  • Support successful project audits through timely and accurate documentation availability.
  • Improve team efficiency by simplifying document workflows and training staff on best practices.

Responsibilities

  • Develop, implement, and maintain Locke’s document control processes and standards.
  • Receive, review, and process incoming and outgoing project documentation, ensuring accuracy and completeness.
  • Assign document numbers, categorize files appropriately, and ensure version control is maintained.
  • Coordinate document exchange between internal departments, clients, and external partners.
  • Monitor document workflows to ensure timely submission and approval of documents.
  • Archive and maintain records of completed project documentation in compliance with company policy.
  • Collaborate with project managers, engineering, and operations to continuously improve documentation efficiency.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum of 2 years of experience in document control or administrative support, preferably in construction, engineering, or manufacturing.
  • Proficiency with document management systems such as SharePoint, Aconex, or Procore.
  • Strong attention to detail and ability to manage large volumes of documents accurately.
  • Excellent communication, follow-up, and interpersonal skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Demonstrated ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

  • Experience with ISO documentation standards or similar regulatory compliance frameworks.
  • Knowledge of electronic document management systems (EDMS).
  • Familiarity with project lifecycles, submittal processes, and technical documentation.
