About the role
Keller Postman seeks a Docket Specialist to manage the firm's docketing system, ensuring accurate tracking of deadlines and court dates.
Responsibilities
- Support attorneys and paralegals in tracking litigation deadlines.
- Perform date calculations and apply jurisdictional rules.
- Maintain calendaring database and update court rule sets.
- Research and interpret laws and regulations, especially in relevant jurisdictions.
- Provide guidance on filing procedures across various courts and agencies.
- Review finalized court filings for compliance with local, state, and federal court rules.
- Prepare and electronically file time-sensitive legal documents with various state and federal courts.
- Investigate and report on submission procedures for attorney admissions and appearances.
- Investigate and report on potential witnesses, such as conducting skip trace or public record searches.
- Obtain attorney Certificates of Good Standing and maintain related expiration dates.
- Organize and maintain attorney admissions and renewals, including state bar admissions, federal court admissions, and pro hac vice admissions.
- Manage attorney account and login credentials for CM/ECF and other electronic filing service providers.
- Audit case docket entries and oversee the distribution of regular docket and status reports.
- Coordinate messenger services to deliver legal documents and evidence.
- Coordinate with other departments to streamline processes and communications.
- Attend case-related and Legal Support department meetings and training seminars.
- Assist with miscellaneous projects as assigned.
Requirements
- Knowledge of state and federal procedures and court processes, including Illinois, Pennsylvania, Delaware, Texas, Florida, and California.
- Knowledge of the federal courts' CM/ECF system.
- Knowledge of assorted state court filing systems (e.g., Odyssey).
- Excellent organizational skills, with the ability to multi-task and adapt to changes quickly.
- Excellent verbal, written, and interpersonal communication skills.
- Excellent time management skills with a proven ability to meet time-sensitive deadlines and adapt to changing priorities.
- Ability to function well under pressure and in a fast-paced, demanding environment.
- Ability to maintain confidentiality and exercise discretion and good judgment.
- Ability to exercise sound independent judgment and proactive problem-solving.
- Ability to communicate with others effectively, listen closely, and convey points clearly.

- Proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Excel, OneDrive, and SharePoint).
- Proficiency in Adobe Acrobat.
- Proficiency in Court Alert or other docketing and deadline calendaring platforms.
Qualifications
- Bachelor’s degree from an accredited college preferred.
- 2+ years of litigation docketing experience at a law firm.
Skills
- Knowledge of state and federal procedures and court processes.
