Responsibilities

  • Provide clerical support for judge in a division
  • Serve in the courtroom
  • Assist in preparing judge's docket
  • Note continuances
  • Administer oath to witnesses and jurors
  • Make entries in the court's automated case management system (JIS) to reflect case progress, which may include scanning documents and attaching to the appropriate docket code
  • Contact attorneys and other court personnel to resolve discrepancies discovered in reviewing records
  • Prepare a variety of orders, documents and correspondence for judge
  • Prepare various statistical reports
  • Operate electronic sound recording machine
  • Answer inquiries and furnish information to attorneys, court personnel and the general public by telephone and in person
  • Perform other duties as assigned

Case Processing

  • Receive and initiate case files
  • Perform technical duties such as reviewing judgments, preparing warrants, summonses, garnishments and executions, bond settings, and docket control
  • Determine processing required and take necessary action in accordance with court rules
  • Review legal documents for necessary information required for filing
  • Prepare a variety of documents related to court operations including court orders, court calendars, notices of hearings, court appearances or reports
  • Cooky the flow of documents necessary for court assignments
  • Properly queue electronically filed proceedings for processing

Accounting Duties

  • Receive and disburse monies
  • Reconcile financial accounts
  • Prepare daily and monthly financial reports

Customer Assistance

  • Provide information and customer assistance in person, via telephone, email or other mediums (without giving legal advice)
  • Work with attorneys, reporters, law enforcement, other judicial agencies, co-workers, supervisors, and judges

Minimum Qualifications

  • Associate’s Degree in a related field or at least 60 semester hours from an institution of higher learning and two years of varied administrative experience performing a wide range of technical office duties
  • Additional experience above the minimum stated may be substituted on a year for year basis for the required education

Preferred Qualifications

  • Advanced knowledge of court procedures and policies, legal documents, laws and legal factors pertaining to the court
  • Advanced knowledge of organization operations, functions and scope of authority of the court
  • Ability to work independently and manage time effectively while handling a high-volume workload in an environment subject to frequently changing priorities and high stress
  • Ability to exercise good judgment and make independent decisions in accordance with general policy and objectives
  • Ability to maintain a variety of complex records and prepare reports from an automated system
