Summary Salary: Range 110 Refer to salary schedule Under the direction of the Director of Human Resources, performs receptionist and clerical duties for the District office. The District Receptionist is a clerical position requiring previous experience operating a high volume telephone switchboard, well-developed customer service skills, and the ability to maintain order and control of a central waiting area. Advancement may occur to positions along the school and district clerical/secretarial career ladders with the appropriate skills and experience. Essential Duties And Responsibilities Essential Duties and Responsibilities Operates a complex multi-line telephone system to receive incoming and facilitate outgoing calls. Takes and delivers messages and routes calls to appropriate department or staff member.Receives, greets and directs visitors as appropriate. Provides a variety of routine information to staff, students, parents and the general public. Ensures that visitors have proper authorization to enter restricted access areas.May provide clerical and general office support duties for a variety of departments such as, but not limited to filing, matching and classifying documents, entering data, generating reports, and assembling materials for meetings, conferences, and mailings.May assist in administering an auto-dial substitute management system, personally contacting substitutes and giving direction to school sites or the District office.Receives and distributes employment application forms, forwarding materials to Human Resources.May receive and route deliveries to the appropriate individual or department.May provide oral and/or written translation for non-English speaking individuals.Performs other duties as assigned that support the overall objective of the position. Knowledge and Skills Office and clerical procedures and equipment including computers utilizing word processing and switchboard. Policies, procedures, and schedules used for handling visitors and support staff.Human relations skills in order to interact in a manner portraying a positive image of the District, with a wide range of contacts ranging from District staff, students, parents, and the general public.District services, operations, policies and procedures. Math skills to compute sums, differences, products, quotients, and percents. Abilities Receive and route a high volume of calls. Communicate clearly and accurately in an open work setting dominated by frequent interruptions. Prepare correspondence on standard formats using personal computer word processing. Demonstrate sensitivity to customers of diverse backgrounds and roles. Physical Abilities Function indoors in an office environment engaged in work of primarily a sedentary nature. Ambulatory ability to sit for extended periods of time, to utilize microcomputers and peripheral equipment, accomplish other desktop work, and to move to various locations. Auditory ability to carry on conversations in person and over the phone. Retrieve work materials from overhead, waist, and ground level files. Sufficient visual acuity to read words and numbers, recognize documents and people, and observe lighted displays. Lift light to medium weight materials from 10-25 pounds on an occasional basis. Minimum Qualifications Education and Experience High School diploma or equivalent and two years of relevant receptionist or office clerical experience. Optional Second Language Some positions in this classification require the ability to speak, read, and write a second language in addition to English, any may require bilingual proficiency for which selective certification may apply (Education Code 45277). Licenses and Certificates May require a valid driver’s license. Working Conditions Work is performed in an office environment. The office supports a high volume of activity and is dominated by interruptions.
