About the Role

The Administrative Assistant provides administrative and operational support for the Distribution Center by coordinating office operations, supporting employee onboarding, maintaining safety and compliance records, managing temporary workforce administration, and ensuring efficient day-to-day business operations. This role serves as a key resource for employees, managers, vendors, and visitors while helping maintain an organized, safe, and productive workplace.

Responsibilities

  • Answer and direct phone calls, emails, and other correspondence.
  • Greet and assist visitors, clients, and staff in a professional manner.
  • Respond to employee, customer, and vendor inquiries.
  • Manage office supplies by ordering and tracking inventory.
  • Maintain employee contact lists, birthdays, anniversaries, and Brivo access.
  • Support managers and team members with administrative tasks and special projects.
  • Maintain Distribution Center kiosk and post employee information.
  • Assist with planning, setting up, and breakdown of meetings and employee events.
  • Enter new temporary employees into Paylocity and HighJump and assign Brivo access.
  • Conduct new temporary employee orientations and warehouse tours.
  • Review and submit temporary employee hours weekly.
  • Process temporary employee separations.
  • Enter new hires into HighJump and assign Brivo access.
  • Assist with new hire orientation and onboarding.
  • Maintain OSHA records and safety communications board.
  • Serve as a member of the Safety Committee.
  • Coordinate monthly safety meetings.
  • Coordinate Bloodborne Pathogens training.
  • Maintain Safety Data Sheets (SDS) and safety manuals.
  • Conduct quarterly safety inspections and reviews.
  • Coordinate and support Volunteer Paid Time Off (VPTO) opportunities and community engagement activities.
  • Schedule facility repairs and maintenance.
  • Reconcile company credit card receipts and expense documentation.
  • Code invoices for payment processing.
  • Create and distribute monthly calendars.
  • Maintain departmental records and coordinate annual document shredding.

Requirements

  • High school diploma or equivalent required.
  • Previous administrative, clerical, or office support experience preferred.
  • Experience with data entry, record-keeping, customer service, and coordinating administrative tasks is beneficial.
  • Experience working in a distribution center or operations environment is a plus.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional customer service and interpersonal skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong problem-solving and critical-thinking abilities.
  • Proficiency with Microsoft Office applications.
  • Ability to work independently and collaboratively with cross-functional teams.

Pay

The base wage for this role ranges from $21 to $24 per hour, depending on skills and experience. Internal pay equity is also considered. While the full range is listed, hiring rarely occurs at the top of the range, leaving room for professional and financial growth.
