Purpose of the Role
As a key member of our team, you will be responsible for dispatching trucks to ensure on-time departures. You will monitor drivers and communicate with customers regarding potential late deliveries or issues, playing a crucial role in maintaining our commitment to exceptional service.
Job Responsibilities
- Process customer invoices and assemble delivery paperwork efficiently.
- Monitor shipping and route progress using SCI and PeopleNet Link, verifying on-time arrivals.
- Break down driver packets and manage customer invoice processing.
- Collaborate with customer care to notify clients of late truck updates.
- Engage with customer care for service escalations and resolution.
- Sort, separate, and file invoices, route packets, and driver inspections.
- Complete data entry for equipment information, driver start/end times, and actual delivery times.
- Handle all incoming calls and emails professionally.
- Re-dispatch drivers as needed to ensure coverage and support on-time deliveries.
- Dispatch repair services for equipment breakdowns and manage accident reporting procedures.
- Maintain a clean and safe working environment, reporting any violations of company policy to your supervisor.
- Perform other relevant job duties as required.
Job Requirements
- Transportation/Dispatch experience preferred but not required.
- Understanding of safety guidelines and regulations.
- Ability to remain calm and professional in fast-paced, stressful situations.
- Strong organizational and time management skills with the ability to prioritize tasks independently.
- Excellent communication skills, capable of effectively interacting with all levels of employees.
- Keen attention to detail and accuracy.
- Proficient in Microsoft Office applications.
- Familiarity with delivery routes and DOT rules and regulations.
- Understanding of warehouse procedures for a comprehensive grasp of all processes.
Physical Environment/Demands
- Most work is performed in a temperature-controlled office environment.
- Incumbents may sit for long periods at a desk or computer terminal.
- Regularly required to sit, use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
- May use calculators, keyboards, telephones, and other office equipment during the normal workday.
- Stooping, bending, twisting, and reaching may be required to complete job duties.
- Infrequently exposed to temperatures ranging from 20 to 90 degrees Fahrenheit in the dock area or outside the work area.
- Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
