Brief Description
Our client is looking for a highly organized and results-oriented Dispatcher to oversee the daily operations of a busy home heating oil delivery business. This position requires very strong organizational skills, and the ability to route 25+ trucks and 600+ deliveries per day during the busy season.
Key Responsibilities
- Maintain automatic delivery accounts and generate delivery schedules based on customer usage, degree-day calculations, and current COD delivery demand.
- Create and adjust daily delivery routes to efficiently manage a high-volume workload, exceeding 600 residential deliveries per day during peak winter months.
- Modify K-factor settings throughout the year to reflect seasonal consumption patterns.
- Supervise daily driver operations, including scheduling, attendance, and overall performance.
- Ensure all delivery activities comply with applicable federal, state, and local regulations, including hazardous materials (Hazmat) requirements.
- Review delivery progress throughout the day, postponing or reassigning stops when necessary to maximize efficiency and communicate schedule changes directly with drivers.
- Deliver outstanding customer service by responding to inquiries from both cash-on-delivery (COD) and full-service customers.
- Provide real-time support to drivers by resolving operational, routing, and delivery-related issues as they arise.
- Develop and maintain driver schedules for a fleet of up to 24 drivers during the heating season.
- Process online COD fuel orders accurately and in a timely manner.
- Troubleshoot driver tablet and mobile device issues to minimize service disruptions.
- Review delivery reports daily to verify that all scheduled deliveries have been completed and identify any exceptions.
- Cookordination and monitor deliveries to commercial customers to ensure accuracy and on-time service.
Work Schedule
Monday through Friday, beginning at 8:00 AM.
Saturdays from 8:00 AM to 4:30 PM during the heating season (November 1 through March 31).
Qualifications
- Previous experience in delivery dispatching, logistics coordination, or transportation operations.
- Working knowledge of GPS tracking and route optimization systems.
- Strong analytical and problem-solving skills with the ability to improve delivery efficiency.
- Experience using dispatch software and multi-line phone systems in a high-volume environment.
- Accurate data entry and computer skills with the ability to work efficiently under deadlines.
- Outstanding organizational and time management abilities, with the capacity to prioritize multiple responsibilities in a fast-paced setting.
