About the role
Guardian Data is seeking a Compliance & Contracts Manager to own the processes that keep the company audit‑ready, contractually protected, and able to win and retain enterprise clients. This hands‑on, builder role will manage certification and audit posture, oversee contracts across the client relationship (from NDA through onboarding), and serve as the primary contact for enterprise clients' procurement and compliance teams. The manager will report to the EVP of Operations & Product and collaborate closely with Operations, Sales, and executive leadership.
Responsibilities
- Own certification maintenance and audit readiness: schedule and prepare for audits, track corrective actions, maintain documentation trails, and research additional certifications (e.g., ISO standards) to support growth.
- Manage contracts across the client lifecycle—including NDAs, master service agreements, and amendments—from drafting or review through execution and tracking.
- Lead compliance and contracts aspects of new client onboarding: NDAs, customer requirement surveys, security and compliance questionnaires, and vendor risk assessments.
- Build and maintain a standardized compliance document library (policies, SOPs, forms) and a compliance dashboard for leadership and board‑level reporting.
- Respond to enterprise client compliance and vendor‑review requests (questionnaires, desk reviews, on‑site audits), coordinating internally and driving them to closure.
- Track regulatory and contractual obligations with a periodic‑verification cadence to keep records current between audits.
- Support safety compliance efforts: investigate incidents, track corrective actions, maintain emergency response plans, and handle safety reporting.
- Develop and deliver training on compliance‑related processes, partnering with internal teams for new‑hire onboarding and ongoing staff development.
- Partner with Operations and leadership to ensure compliance and contractual commitments are demonstrably met in practice.
- Serve as the point of contact for certifying bodies and clients' compliance/procurement contacts, managing those relationships proactively.
Requirements
- 3+ years of experience in compliance, contracts administration, or a related governance/risk role.
- Direct experience preparing for or managing third‑party audits, including hosting audits or managing corrective actions.
- Experience managing contracts (NDAs, customer/vendor agreements) from drafting or review through execution and tracking.
- Experience supporting client onboarding—security questionnaires, customer requirement surveys, vendor risk assessments.
- Strong documentation skills; ability to produce audit‑ready policies, procedures, and evidence packets.
- Self‑directed with the ability to own a workstream of many moving parts, build processes where none exist, and prioritize effectively.
- Excellent communication and presentation skills; comfortable representing the company to clients, auditors, and internal stakeholders, and delivering training.
- Proficiency with Microsoft 365 (Word, Excel, Teams, Outlook).
- Bachelor’s degree in business, compliance, or a related field preferred; relevant certification (e.g., Certified Compliance & Ethics Professional) is a plus.
Preferred qualifications
- Experience in ITAD, electronics recycling, records/data destruction, or a related regulated industry.
- Familiarity with NAID AAA, R2v3, e‑Stewards, ISO, or similar certification frameworks.
- Knowledge of OSHA or other operational safety/regulatory requirements.
- Experience developing or delivering training programs.
