About the role

The Director of Facilities provides strategic leadership and oversight for the organization’s facilities, physical assets, operational infrastructure, and support services across multiple locations. This position ensures that all buildings, grounds, equipment, and operational systems are safe, compliant, efficient, and well maintained in support of the organization’s mission and service delivery.

Responsibilities

  • Lead the strategic planning, administration, and continuous improvement of facilities operations by implementing systems and standardized processes using technology and performance metrics that enhance efficiency, accountability, and service delivery.

  • Engage in strategic planning related to organizational growth.

  • Develop and oversee comprehensive preventative maintenance and capital asset management to maximize the reliability, safety, and longevity of organizational facilities and equipment.

  • Collaborate with Finance to develop and manage departmental operating and capital budgets, monitor expenditures, and identify opportunities for cost savings and operational efficiencies.

  • Develop operational dashboards, licensing and compliance monitoring tools, and executive reporting that provide data on maintenance activities, capital projects, facilities performance, and operational risk.

  • Collaborate with program and department directors to coordinate space planning, furniture installation, staff moves, occupancy tracking, and facilities use.

  • Provide strategic leadership and supervision for facilities staff, vendors, and contractors while ensuring compliance with State and Federal regulations (DCFS, DHS, HFS, Medicaid), COA accreditation standards, organizational policies, and industry standards.

  • Provide supervision, develop, and evaluate maintenance, custodial, and facilities staff.

  • Promote a culture of safety, accountability, teamwork and customer service.

  • Projects, Capital Planning & Procurement

    • Collaborate with Chiefs and program leaders to oversee construction, renovation, and capital projects with contractors, vendors, consultants, and internal stakeholders.

    • Develop and manage timelines and schedules.

    • Establish and maintain systems for managing PP&E, including developing database for tracking asset inventories, insurance schedules, facility assessments, capital replacement, and documentation supporting requirements.

    • Develop long-term maintenance and replacement plans to preserve assets and manage costs.

    • Lead facilities-related procurement, including scope development, bid review, and vendor recommendations.

  • Safety, Risk Management & Compliance

    • Develop and implement safety programs, policies, and procedures to reduce organizational risk.

    • Ensure compliance with OSHA, DCFS, state licensing, fire safety, and applicable building regulations.

    • Conduct facility inspections and address safety and maintenance / improvement needs.

    • Coordinate emergency preparedness, drills, continuity planning, and incident response.

    • Oversee facility security, including access controls, badges, cameras, and keys, in collaboration with Human Resources, IT, and executive leadership.

    • Partner with insurance brokers, regulators, and risk consultants on compliance, inspections, claims, and risk management activities.

    • Support infection control and environmental health initiatives.

    • Develop and deliver safety and facilities training.

    • Coordinate corrective actions following regulatory inspections and accreditation reviews.

  • Fleet & Asset Management

    • Oversee fleet operations, maintenance, inspections, repairs, and safe vehicle use.

    • Develop fleet usage, maintenance, and vehicle safety policies.

    • Support asset management initiatives including purchasing and lifecycle planning.

  • Vendor & Contract management

    • Negotiate and manage contracts for maintenance, landscaping, custodial services, and other facility services.

    • Evaluate vendor performance and ensure contractual compliance.

    • Serve as after-hours contact for facility emergencies and critical operational issues.

Requirements

  • Comprehensive knowledge of facility maintenance systems and building operations.

  • Excellent budgeting and financial management skills.

  • Ability to negotiate and manage vendor contracts.

  • Experience managing construction, renovation, and capital improvement projects.

  • Knowledge of OSHA, building codes, fire safety regulations, and risk management principles.

  • Strong analytical, organizational, and problem-solving skills.

  • Ability to manage multiple priorities and projects simultaneously.

  • Strong leadership, communication, written, verbal, and interpersonal skills.

  • Knowledge of risk management frameworks and regulatory compliance requirements.

  • Must meet DCFS/CANTS Clearance Requirements.

  • Must be at least 21 years of age.

  • Must possess and maintain a valid driver’s license and maintain proof of automobile insurance.

Qualifications

  • Bachelor’s degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field preferred.

  • An equivalent combination of education, training, and progressively responsible experience may be considered.

  • Minimum of five (5) years of progressively responsible experience in facilities management, property management, safety management, risk management, or related operational leadership roles is required.

  • Minimum of three (3) years of supervisory or team leadership experience required.

  • Experience overseeing maintenance operations, vendor management, and capital projects is preferred.

  • Experience working with nonprofit or multi-site operational experience preferred.
