Administrative$100/hrFull-time
Key Responsibilities
- Executing scheduled on-site inspections across Northeast campuses using documented criteria for cleanliness, HVAC performance, safety, security, signage, landscaping, furniture, and readiness for tours — then ensuring corrective actions are completed and verified
- Responding to facilities issues and urgent situations, coordinating contractor response, and closing work orders only once repairs are confirmed complete (urgent within 24 hours, standard within 1 week)
- Overseeing local contractor performance relative to service agreements, removing vendors who repeatedly fail to meet standards, renegotiating contracts, and conducting direct accountability discussions around quality and cost control
- Establishing a weekly operational rhythm with Campus Coordinators and Site Specialists to ensure each campus operates from consistent procedures rather than ad hoc problem-solving
- Overseeing significant campus improvement projects (HVAC replacements, interior updates, landscaping, AV and network upgrades) delivered on time, within budget, and with minimal impact on student experience
- Documenting enterprise-wide standards and AI-supported procurement frameworks (leveraging work order platforms, IoT and predictive maintenance tools, and centralized vendor sourcing) to ensure uniformity as new campuses launch and existing ones operate
- Delivering clear, concise weekly written updates on regional site quality, vendor outcomes, escalations, and capital expenditure tracking
Basic Requirements
- Located in New York City or within commuting range, prepared to work primarily from the Manhattan campus with 20–40% travel to other regional sites
- Authorized to work in the United States without requiring visa sponsorship
- 5+ years of experience managing multi-site facilities, regional operations, hospitality operations, retail operations, or school operations
- Documented success holding vendor-managed services accountable for quality, cost control, and service-level agreement performance across multiple sites
- Consistent written operational discipline: issue tracking, escalation documentation, vendor correspondence, weekly regional performance summaries
- Demonstrated proficiency with contemporary operations platforms (ticketing systems, IoT and predictive maintenance tools, AI-assisted procurement or planning systems)
Nice-to-have Requirements
- Leadership experience in multi-site operations within premium hospitality, luxury retail, private K–12 education, or healthcare networks serving demanding clientele
- Track record building or overhauling a regional operations framework that previously depended on individual heroics instead of documented processes
- Experience terminating underperforming vendors and developing a reliable local contractor network
- Experience delivering capital improvement projects (HVAC, AV and networking, landscaping, interior renovations) in active, customer-facing facilities
- Familiarity working in AI-enabled operational environments where automated playbooks, dashboards, and predictive tools handle routine tasks and allow personnel to focus on decision-making
