Director of Auxiliary Programs
Position Summary
The Director of Auxiliary Programs leads Holy Trinity's Extended Day program and our trimester-based Enrichment/Clubs programming. This is a highly visible, hands-on leadership role responsible for the financial health, quality, and daily operation of programs that serve the majority of our PreK-8 families. The Director supervises an Assistant Director of Auxiliary Programs, program staff, and a roster of outside vendors and instructors, and works in close partnership with the Head of School and the Business Office on budgeting, pricing, and strategic growth. The successful candidate will be entrepreneurial, organized, and comfortable building and improving systems, with a genuine passion for creating safe, engaging, and high-quality experiences for children.
Responsibilities
- Financial & Operational Stewardship:
- Develop and manage the annual Auxiliary Programs budget across Extended Day and Enrichment/Clubs, monitoring revenue and expenses and reporting financial performance regularly to the Head of School and CFO.
- Set and periodically evaluate pricing (hourly rates, trimester fees) to balance affordability, program quality, and financial sustainability.
- Own the registration and billing system end to end, ensuring attendance reconciles accurately to billing.
- Negotiate and manage compensation arrangements with outside vendors and instructors, consulting with the Business Office as needed.
- Program Development & Quality:
- Build and continually strengthen program offerings across Extended Day and Enrichment/Clubs, ensuring a robust and varied menu that reflects family interest and demand.
- Actively recruit vendors, teacher-led clubs, and enrichment partners each trimester.
- Maintain a predictable trimester schedule with published start and end dates and consistent daily time windows across all clubs and classes.
- Design and maintain a seamless hand-off process for students moving from an afterschool club directly into Extended Day, covering attendance, billing, and family communication.
- Partner with the Head of School and any engaged outside advisors on program redesign initiatives and clearly communicate quality improvements to families.
- Explore new program offerings and revenue-generating initiatives to support the long-term growth and sustainability of Auxiliary Programs.
- Staffing & Supervision:
- Hire, train, supervise, and evaluate all Auxiliary Programs staff and contracted vendors.
- Build staff schedules aligned to actual attendance patterns to maintain appropriate staff-to-student ratios and control costs.
- Supervise the Assistant Director of Auxiliary Programs, who serves as backup departmental leadership.
- Maintain staff certifications, required training, and clearances in coordination with the school's HR and compliance functions.
- Compliance & Safety:
- Ensure all programs operate in compliance with applicable state licensing, health department, and risk-management standards.
- Maintain emergency procedures and incident documentation, and ensure required staff certifications (CPR, First Aid, Mandated Reporter, background checks) stay current.
- Family & Community Communication:
- Serve as the primary point of contact for Auxiliary Programs families, responding to questions and concerns promptly and professionally.
- Partner with the Communications team on marketing, registration communication, and the Auxiliary Programs website and calendar.
- Present program offerings to faculty, including at opening meetings, to recruit teacher-led club leaders.
Qualifications
- Bachelor's degree preferred.
- Minimum 3–5 years of experience developing, managing, or growing educational, youth, auxiliary, or enrichment programs.
- Experience managing budgets and reporting financial performance to school leadership.
- Experience supervising instructional or care-oriented staff, including vendors and contractors.
- Entrepreneurial mindset with a demonstrated ability to move ideas from concept to implementation.
- Strong interpersonal skills and the ability to build relationships with children, parents, faculty, vendors, and community partners.
- Comfort with registration/billing software and general productivity tools.
- CPR, First Aid, and Mandated Reporter certification required, or willingness to obtain promptly upon hire.
