About the Role
Vista Springs Timber Ridge Village is seeking a highly motivated professional to join our dynamic team. This role supports the Managing Partner in daily operations, ensuring smooth facility management and a positive experience for staff, residents, and families. You’ll thrive in our "Joy in Work" environment within an award-winning, purpose-built senior living community offering catered living, assisted living, and memory care.
Responsibilities
- Answer all incoming phone calls by the third ring.
- Conduct tours of the facility.
- Track census daily and maintain accurate records for staff, residents, and family members.
- Handle daily bank deposits and maintain the office budget.
- Send out invoices/statements monthly and manage resident billing records.
- Process payroll and handle incoming/outgoing mail.
- Assist with staff scheduling and ordering office supplies, gifts, and equipment upkeep.
- Coordinate new hire implementation, orientation, and all new resident admissions.
- Maintain staff and resident files.
- Serve as an assistant to the Managing Partner, managing accounts payable and receivable.
- Participate in Manager on Duty (MOD) rotation, including weekends.
- Greet visitors and present a professional, caring attitude at all times.
Non-Essential Duties:
- Assist with kitchen tasks or resident care as needed.
- Run occasional errands and assist residents in emergencies.
- Supervise staff during emergencies.
Requirements
- Associate’s degree (A.A.) or equivalent from a two-year college/technical school; or three years of related experience/training; or an equivalent combination of education and experience.
- Five years of office manager experience preferred.
- Proficiency in MS Office (Excel, Outlook), and internet applications.
- Strong organizational, multitasking, and follow-through skills.
- Ability to read, write, and speak basic English, including comprehension of instructions, correspondence, and memos.
- Ability to present information effectively in one-on-one and small-group settings.
- Team-player mindset with a detail-oriented approach.
Physical Demands
- Ability to lift up to 25 lbs. to assist with occasional resident care needs.
- Capable of working in an assisted living environment.
Schedule
Full-time, Monday–Friday, 40 hours per week (8 hours/day) with additional hours as needed. Includes weekend Manager on Duty (MOD) rotation. Little travel required.
