Essential Duties & Responsibilities

  • Direct company administrative operations by planning, organizing, and implementing administrative systems to promote scaling and optimize efficiency in all administrative areas of the organization.
  • Responsible for the day-to-day oversight of all administrative components and function in a senior leadership role.
  • Chief Administration:
    • Complete contract development and monitoring activities, including consulting contracts, service agreements, and Memoranda of Understanding (MOUs), by drafting, negotiating, executing, and monitoring contracts to ensure timely completion and compliance.
    • Positively represent the Coalition at all times through a success-oriented and professional demeanor.
    • Establish and maintain effective working relationships with Coalition partner agency staff, volunteers, staff, donors and the general public.
    • Cook with the Director of Human Resources to evaluate staff development needs and develop recommendations for the Chief Executive Officer regarding training and professional development priorities that enhance organizational effectiveness.
    • Cook with the Maternal & Child Policy Research Center to conduct data analysis that supports organizational initiatives, program evaluation, and informed decision-making.
    • Participate in meetings with the Maternal & Child Policy Research Center to support collaborative research initiatives and organizational objectives.
  • Staff Development and Supervision:
    • Provide leadership, supervision, coaching, and performance management to assigned staff, fostering accountability, professional growth, and alignment with organizational goals.
    • Maintain assigned budgets in accordance with approved funding levels, organizational policies, grant requirements, and applicable financial guidelines.
  • Fiscal Management:
    • Develop, implement, monitor, and actively manage assigned program and administrative budgets to ensure effective fiscal stewardship and alignment with organizational priorities.
  • Other:
    • Ensure the timely execution, administration, and monitoring of contracts, consulting agreements, service agreements, and Memoranda of Understanding (MOUs) in accordance with organizational policies and applicable requirements.

Education and/or Work Experience Requirements

  • Master’s Degree in Public Health or MBA (preferred) and at least 3 years or more of knowledge and background in management and administrative functions.
  • May substitute Bachelor’s degree in social, public health, maternal and child health services and other related field with at least five or more years’ experience management, and non-profit sector experience.
  • Knowledge of State and Federal contract management, auditing, budget and expenditures monitoring.
  • Experience in personnel supervision, management and data analysis.

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external clients.
  • Familiarity with the overall operational procedures at the administrative levels of the organization.
  • Strong analytical and data-driven mindset that translates into leadership skills.
  • Ability to inspire employees to live up to their potential and optimize their productivity.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary leadership.
  • Must be able to travel to attend conferences, training and other events, as required.
  • Excellent computer proficiency (MS Office Suite, Adobe) as well as other databases as needed.
  • Ability to work flexible traditional and non-traditional hours.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices.
  • Must be able to communicate effectively and be a team player at the Coalition.
  • Must be able to commit to the Coalition vision and be passionate about its mission.
  • Requires reliable transportation as travel is required, valid driver’s license, good driving record and automobile insurance.

Physical Requirements

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, and other federal, state and local standards.
  • Must be able to travel to alternate locations.
  • Required to sit, stand, walk, speak and hear while performing the duties of this job, regularly.
  • The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen.
  • Lifting/carrying up to 25 pounds.
