The Diabetes Technologies and Care Coordinator performs all administrative aspects of the Diabetes Technology program, which includes Insulin Pumps and Continuous Glucose Monitoring (CGM) systems.

Responsibilities

  • Manage pertinent paperwork related to assisting patients in the procurement of diabetes technology devices (insulin pumps and CGM) and related supplies.
  • Facilitate and maintain appropriate communications including EHR documentation, online web portals, email, fax, paging, and phone calls.
  • Facilitate, organize, and participate in the implementation and quality assurance of the Program through administrative processes such as:
    • Maintain program statistics according to protocol and database, including assessment and data collection for quarterly reporting.
    • Oversee and document evaluations, surveys, and questionnaires.
    • Ensure all paperwork has been received prior to any technology trainings, including but not limited to: insulin pump orders, eye letters, and educator insulin pump assessments.
  • Schedule all required patient individual or group appointments and trainings, verifying insurance data and ensuring authorizations for visits prior to patient arrival for services.
  • Communicate schedule with physicians, fellows, educators, and other departments for coverage and coordination of services.
  • Coordinate medical consultative services as needed.
  • Maintain classroom space, equipment, and all necessary technology supplies.
  • Coordinate the insulin pump program including scheduling patient assessments, trainings, and follow-ups.
  • Act as the primary coordinator for all trainings and patient communication.
  • Serve as liaison for patients, industry partners (pharmaceutical and medical device companies), and third-party payers to ensure proper documentation and reimbursement for services.
  • Coordinate and lead weekly/monthly appointments with industry partners.
  • Maintain current knowledge of new technologies, distribution sources, and insurance nuances; communicate updates to appropriate medical and education staff.
  • Assist education and clinic staff with the implementation of new diabetes technology, including scheduling trainings and disseminating newsletters.
  • Maintain a sample documentation process and record all samples for the Program per Clinic sample policy.
  • Maintain the CGM professional program with appropriate documentation and reconcile all patient supplies and charges for the Program.
  • Order supplies for the Program through approved vendors and stay within budget.
  • Arrange site visits for external parties (e.g., industry partners and professionals) and supervise volunteer staff for specific projects.
  • Other duties as assigned.

Requirements

  • Associate’s degree in a related field or equivalent work experience; Bachelor’s degree preferred.
  • Minimum 2 years of office experience; experience in program management and handling third-party payers preferred.

Skills

  • Proficient in Microsoft Office Suite.
  • Familiar with medical terminology.
  • Ability to handle confidential and sensitive information, with knowledge of HIPAA.
  • Strong organizational and communication skills (communicate clearly and effectively via verbal and written instruction).
  • Attention to detail and ability to concentrate on multiple tasks.
  • Ability to prioritize responsibilities through completion.
  • Ability to work independently and collaboratively within the clinic, interacting respectfully with employees, professional staff, patients, visitors, and external contacts.
  • Experience promoting or marketing programs to the public preferred.
  • Analytical skills to gather and interpret data in relatively routine situations.
  • Ability to exchange information on factual matters, explain policies, and relay messages to appropriate persons.

Pay

The pay range for this position is $22.05 - $29.68 per hour. Actual compensation is determined based on several factors, including seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable.
