Detroit Office Coordinator & Administrative Project Support
About the role
Provide comprehensive administrative and project support to our interdisciplinary architecture and engineering teams. Help foster a positive, engaging office environment by supporting colleagues and client projects, welcoming visitors, and keeping daily office operations running smoothly in our Detroit office location.
Responsibilities
- Coordinate day-to-day project information flow, team calendars, meeting agendas, and minutes.
- Manage client contact information, project files, and records in Deltek Vantagepoint.
- Prepare contracts, project specifications, and proposal materials using AIA and BSD SpecLink software.
- Track submittals, requests for information, and certificates of insurance throughout each project.
- Support HR-led initiatives, including greeting candidates and supporting new hire onboarding.
- Oversee Detroit office operations, including supplies, vendor coordination, and overhead expense reconciliation.
- Serve as the point person for safety training, emergency planning, and front-office hospitality and guest reception.
Requirements
- High school diploma required.
- 3+ years of broad operational or administrative experience in a directly applicable role.
- Proficient in Microsoft Office, including Word, Excel, and Outlook.
Preferred Qualifications
- Associate’s or bachelor’s degree.
- Experience in the Architecture and Engineering industry.
- Experience in a multi-office firm environment.
- Proficiency with Deltek Vantagepoint, Microsoft SharePoint and Teams; familiarity with Access or BSD software preferred.
