PURPOSE OF POSITION

To accurately file real estate documents and index them in the appropriate computer tract indexes. Requires extensive contact with individuals involving considerable tact and discretion. May work with extremely sensitive information and be accountable for its protection and control.

WORK PERFORMED/JOB FUNCTIONS

  • Knowledge of statutory requirements regarding the recording of real estate documents.
  • Strong knowledge of legal descriptions.
  • Review instruments/documents for completeness and uniformity with legal standards, and verify appropriate recording fees received.
  • Indexes real estate documents in the appropriate computer tract index.
  • Enter pertinent data on a computer and verify information entered by other employees.
  • Imaging daily of documents/instruments to meet archival quality standards.
  • Proofs of images created by other employees for quality control, accuracy of the number of pages, and clarity of images.
  • Provides final proof of documents before mailing out to submitters.
  • Balances fees collected daily.
  • Retrieves information from real estate records as requested by title companies, lending agencies, attorneys, realtors, and the public.
  • Assists the public and various other county departments.
  • Prepares daily reports regarding the recording of documents and fees collected.
  • Occasional travel for training seminars.
  • Learning procedures and rules for being a Passport Acceptance Agent on behalf of the US Department of State.

KNOWLEDGE, SKILLS, AND ABILITIES

  • The ability to resourcefully communicate with all county departments.
  • The ability to pay attention to detail in processing documentation.
  • The ability to follow written and oral instructions.
  • The ability to operate a computer, scanners, and basic office equipment.
  • The ability to enter data and index scanned images on the computer with accuracy and attention to detail.
  • A working knowledge of departmental policies and procedures, and the rules and regulations governing the data practices, laws, and retention schedules.
  • The ability to establish and maintain a record-filing system.

MINIMUM TRAINING, EXPERIENCE, OR CERTIFICATIONS

  • A high school degree or its equivalent, and additional know-how acquired from about two to three years of specialized training or progressive related experience of four to six years.
  • Training or experience to be proficient in the use of Excel and Word.
  • Experience in using scanning/imaging equipment is a plus.
  • A current, valid driver’s license for occasional travel for training purposes.
  • The ability to multitask under constant interruptions and compliance deadlines.

HOURS AND BENEFITS

Hourly Range: $27.04 - $35.49
