About the role

The purpose of this classification is to perform specialized administrative duties and process routine and complex legal documents in support of assigned court functions.

Responsibilities

  • Performs customer service functions by telephone, by mail, and in person; provides information and assistance regarding court activities, services, procedures, documentation, fees, case status/disposition, or other issues;
  • Reviews and accepts legal documents in accordance with court procedures and prescribed time frames;
  • Distributes forms and documentation;
  • Responds to routine and complex questions or complaints;
  • Researches problems/complaints;
  • Initiates problem resolution;
  • Processes various court-related documentation in accordance with court procedures and time frames;
  • Affixes and dates legal documents;
  • Distributes and submits information and legal documents to appropriate parties;
  • Reviews, verifies, records and files documentation and records;
  • Creates spreadsheets and reports of activities;
  • Collections, records and processes fees;
  • Processes court payments, taxes, recording fees, and other items according to division/department assignment and per established procedures;
  • Enters payments/ posts checks into specified computer application;
  • Sets fees to proper case;
  • Sets taxes to specific property;
  • Balances monies received and processes as required;
  • Enters data from court and legal documents into computer systems, databases and applications;
  • Scans, indexes and records court case information and legal documents;
  • Audits and reviews data for accuracy;
  • Updates case disposition information;
  • Maintains accurate records and filing systems;
  • Maintains court calendar;
  • Schedules dates and times for hearings, motions, and trials;
  • Communicates instructions regarding paperwork and court appearance/process;
  • Records case numbers in court date/time logbook;
  • Prepares calendar for publication;
  • Reviews weekly court calendar to ensure accuracy;
  • Attends court as required for arraignments, motions, pretrial and trial court calendars, and/or drug court proceedings for entries, sanctions, and terminations;
  • May process information relating to prospective jurors, and provides the courts with qualified jurors in accordance with applicable federal, state, and local laws;
  • Escorts prospective jurors to the courtroom for jury selection;
  • Aids citizens calling to inquire about the summons for jury duty and helps to resolve problems associated with their service date by following guidelines;
  • Enters data from questionaries returned by citizens summoned for jury duty;
  • Provides attorneys and judges with information sheets containing personal data of each juror;
  • Completes documentation for jury panels in accord with rules and regulations as stipulated by law.

Requirements

  • High school diploma or GED required;
  • Two years of administrative experience preferably in criminal justice, law or court environment;
  • Or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Qualifications

  • May be required to possess and maintain affirmation as a sworn Deputy Clerk of the Court and Notary Public Certification;
  • According to area of assignment, may be required to possess and maintain a valid Georgia driver’s license.
