About the role

The Quality Control Specialist ensures the accuracy, completeness, and regulatory compliance of documentation related to new deposit account setups and account maintenance. This includes reviewing Customer Information Files (CIF), Customer Identification Program (CIP) records, and supporting source documentation, as well as indexing documents into the central repository for audit readiness.

Responsibilities

  • Image deposit account documentation received from business units to ensure required information is present for indexing.
  • Index CIF and account-level documentation into the central repository for proper organization, accessibility, and audit readiness.
  • Review Customer Information Records for new customers to ensure accuracy, integrity, and required source documentation for customer titling.
  • Review all deposit account setups (e.g., Corporate, Minor (NYUTMA), Funeral/Burial, Representative Payee, and Trust accounts) for accuracy, completeness, and compliance with regulatory requirements to minimize risk and identify fraudulent activity.
  • Confirm Branch staff have submitted proper CIP paperwork for new and existing customers, verifying the required five points of ID as mandated by the Anti-Money Laundering Policy.
  • Verify that all required Beneficial Ownership information is captured in the system and meets Bank Secrecy Act (BSA) requirements; collaborate with BSA staff to resolve compliance issues.
  • Utilize ancillary systems within the Bank’s core system to track missing source documents and CIP forms related to customer information file maintenance.
  • Collaborate with Branch staff to improve efficiencies and reduce occurrences of missing documents.
  • Analyze resubmitted documents to ensure requirements are met.
  • Review reports to confirm submission of source documents for maintenance (e.g., name changes, address changes, relationship additions/removals) and maintain appropriate documentation retention schedules.
  • Verify and maintain documentation related to Stop Payments and Holds on accounts, removing items lacking appropriate documentation.
  • Conduct miscellaneous reviews and analyses using system-generated reports to ensure adherence to internal procedures and regulatory guidelines.
  • Demonstrate the standards and principles of the Five Star Bank experience in interactions with internal and external customers, associates, and stakeholders.
  • Perform other duties as assigned, including supporting talent development and planning initiatives.

Requirements

  • High School Diploma or equivalent (required).
  • 6 months of experience in the banking or financial industry (required).
  • 1+ year of experience in account opening/maintenance and related documentation (preferred).

  • Strong organizational and multitasking skills to meet assigned deadlines.
  • Strong time management and self-motivation.
  • Proficiency with Windows-based PCs and Microsoft Office Suite, including Outlook; ability to learn new banking software.
  • Ability to work effectively with all levels of staff, including leadership.
  • Timely and professional response to information requests.

Physical Requirements

  • Able to regularly sit for prolonged periods.
  • Extensive computer usage is required.
