Deployment Coordinator Supervisor

About the Role
This role leads a team of Deployment Coordinators and serves as the senior administrative and operational authority for deployment readiness, travel execution, and compliance across assigned personnel. The Deployment Coordinator Supervisor (DCS) ensures all personnel are prepared to deploy on time, travel and expenses meet contract and Department of Defense requirements, and deployment coordination processes are executed consistently and at scale. The work requires adaptability to support a rapidly changing operational environment and oversight of systems such as Microsoft Dynamics 365 (D365 or ABACUS), Concur, Monday.com, SharePoint, and the Synchronized Pre-deployment Operational Tracker (SPOT).
Responsibilities
- Supervise, coach, and develop Deployment Coordinators across multiple sites; assign and prioritize workload, monitor output, quality, and responsiveness.
- Establish performance expectations; conduct performance reviews; support hiring, onboarding, and training; serve as escalation point for complex or high-impact issues.
- Oversee end-to-end deployment coordination (personnel and files); validate accuracy, completeness, and compliance; standardize workflows for timekeeping, expenses, and travel.
- Monitor service levels and operational metrics (response times, submission deadlines, compliance); identify gaps and drive corrective actions.
- Lead timecard oversight in D365, including review cadence, missing timesheet enforcement, correction routing, trend identification, and process improvements.
- Manage expense reporting oversight to ensure timely, accurate submissions and contract compliance (receipts, categorization, escalation resolution).
- Oversee travel authorization preparation and booking coordination, ensuring JTR and contract compliance, timely approvals, and resolution of bottlenecks.
- Ensure deployment readiness completion (Theater Entry Requirements, SPOT entries, Letters of Authorization, renewal tracking); validate readiness prior to deployment and manage schedule risks.
- Oversee onboarding and offboarding execution (system engagement within 24 hours, training coverage, termination/deactivation processes, final submissions) and improve readiness timelines.
- Own systems and data governance (Teams, SharePoint, Monday, D365, Concur, SPOT, trackers, audits, troubleshooting).
- Coordinate cross-functionally with Site Ops, Finance, People, and Travel partners to resolve issues and implement standard operating procedures.
Requirements
- Program Operations / Admin Leadership: 5–7 years of experience supporting program operations or administrative leadership, including managing travel, expenses, and program administration in government or complex corporate environments with demonstrated team leadership.
- DoD Travel & Per Diem Compliance: Working knowledge of DoD travel regulations, including Joint Travel Regulations (JTR) and government per diem rules; ability to ensure compliance at scale.
- Systems & Tools Expertise: Advanced proficiency in Microsoft Office Suite and collaboration tools (Teams, SharePoint, OneDrive). Experience with enterprise platforms such as Microsoft Dynamics 365 or ABACUS, Concur, and ability to drive adoption of Monday.com and SPOT.
- Leadership & Prioritization: Proven ability to manage multiple priorities, lead teams effectively, and maintain high operational standards across high-volume workflows.
- Communication & Stakeholder Influence: Strong written and verbal communication skills; ability to train and guide stakeholders at multiple organizational levels and influence outcomes.
- Attention to Detail & Data Quality: Demonstrated ability to enforce rigorous standards for accuracy, compliance, and documentation quality.
- Adaptability: Ability to lead through shifting priorities, evolving deployment requirements, and time-sensitive operational needs.
Preferred Qualifications
- Experience supporting Department of Defense or government contracts, including knowledge of Fly America Act requirements and contract-specific travel guidelines.
- Familiarity with SPOT and the Letter of Authorization process.
- Experience leading deployment readiness or operational coordination teams.
- Experience implementing process improvements or operational standardization initiatives.
- Experience using Monday.com or similar project management tools at scale.

Pay
Pay Range: $68,000 – $85,000 USD. This is a good faith estimate reflecting the expected base pay for this position upon hire. Final compensation may vary based on factors such as job location, experience, and skills. Eligible full-time employees also receive a comprehensive benefits package.
Schedule
This is a full-time exempt position with typical working hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours and shifts may change based on department and business needs. Occasional travel (approximately 10%) is required.
