About the role
The Department Coordinator I in the School of Medicine provides general administrative office support for various divisions including General Ob, Maternal Fetal Medicine, Ryan Program, Vice-chair, Education and Academics, Residents, and other related areas.
Responsibilities
- Distribute mail, perform data entry, coordinate meetings, provide equipment for learning sessions, track CME records, appointments, and travel arrangements.
- Maintain office supply ordering, responsible for maintenance of office equipment, greet visitors, answer incoming calls, and plan events as needed.
- Track and record office supplies, manage office schedules at other facilities, create and manage physician time off requests, spreadsheets including didactic attendance and vacation.
- Maintain current records of DEA, track TB/Flu results and testing, liability insurance and licenses, faculty personnel files, and current CV information.
- Attend monthly division meetings, report allocations to the business office, monitor budget with Program Director, track budget grant funds, and keep records for reporting.
- Manage grand rounds schedule, distribute didactic material, collect data from reported surveys, create evaluation and tabulation sheets, review content for CME office, maintain attendance for didactic sessions, and track, record, and report to UofL CME office for ACCME.
- Coordinate and direct AAGL cadaver courses for MIS division, may direct the work of other support staff and/or student workers and cross train when necessary.
- Pro Card Proxy-reallocating all purchases through the online financial system, organize and facilitate monthly meetings with Ryan White Program Director and others as needed, maintain ordering slips and receipts, order supplies, maintain inventory, maintain rotating residents and students schedules from other facilities, prepare and maintain the procedure log for the annual report to the state.
Requirements
- High School Diploma/GED and up to two (2) years of relevant experience or an equivalent combination of education and experience.
Qualifications
- Ability to work independently and as part of a team.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office Suite.
- Knowledge of CME processes and procedures.

Pay
$15.76 - $23.66 per hour
